Job Description

POSITION SUMMARY:

Performs office duty for Meals on Wheels (MOW) department. Confirm and accept authorization for Home Delivered Meals from the AAA (Area Agency on Aging) or the States Management Information System (MIS). Ensures forms are properly completed and eligibility criteria are met as set by Executive Office on Aging (EOA) and Elderly Affairs Division (EAD). Ensures data is correctly entered in MIS or ServTracker. Provides program support, including clerical duties, record-keeping, reporting and follow-up functions for MOWs programs.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

MIS Specific

  • Review and accept the authorization for Home Delivered and Group Dining Meal service within the MIS daily.
  • Record and maintain service units (meals, nutrition education, nutrition counseling, outreach, recreations, etc.)s delivered to each client and clients background information in the clients record using the MIS.
  • Enter other required information into clients record using the MIS.
  • Document the circumstance for service termination and alternative arrangements to the client and/or family, if applicable, and notify the Administrative Assistant and Operations Manager.

 

ServTracker

  • Specific Review assessment forms to ensure they are properly completed, eligibility criteria are met and relevant information is provided.
  • Follow-up on missing information and obtain supporting documents if applicable.
  • Input data into information systems such as ServTracker.

 

General

  • Review data entry for accuracy.
  • Protect the security and confidentiality of all data and records.
  • Prepare monthly, quarterly, annual program reports and any required special reports.
  • Participate in required trainings and meetings provided by AAA and or EOA on the use of MIS.
  • Provide support to the Data Supervisor and MOW Operations Manager.
  • Provide and/or assist with staff training and technical assistance in the use of MIS and ServTracker.
  • Provide back-up support for the Administrative Assistant for record keeping assignments, data entry, photocopying and other clerical functions including bulk mailing.
  • Demonstrate Lanakila Pacific's values of teamwork, excellence, achievement, motivation and Lanakila in all personal interactions with others.
  • Ensure all forms uniformly match data in Excel, ServTracker and MIS programs by verifying the data.
  • File all forms accurately into the appropriate case files in locked cabinets.
  • Route daily meal order to Food Service Department.

REPORTING:

  • Assist with the preparation of monthly, quarterly, annual program reports and any required special reports.
  • Assist with the compilation of data for program reports and any other required special reports.
  • Perform all other record keeping changes and updates established by city, state and/or federal agencies.

 

MINIMUM QUALIFICATION REQUIREMENTS:

Education/Experience:

  • High School diploma and three years experience in general office work required.

Skills/Knowledge/Abilities:

  • Requires intermediate level proficiency in computer software applications such as MS Office and database applications.
  • Requires an average keystroke of 8500 per hour on alphanumeric and numeric keypad.
  • Requires an average typing speed of 50 words per minute.
  • Requires good spelling and grammatical skills to edit program services correspondence.
  • Must have current TB Clearance (valid within one year).
  • Must be able to pass criminal background check.
