Job Description




John A. Burns School of Medicine.  Regular, Full-Time, RCUH Non-Civil Service position with the John A. Burns School of Medicine (JABSOM), located in Honolulu, Hawai‘i.  Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 




DUTIES:  Prepares and coordinates pre-award grant proposals and activities in accordance with established agency instructions and guidelines.  Provides guidance to investigators for grant or contract submittals.  Builds and maintains a library of resources for the Grants Development Office to refer to/assist investigators.  Promotes an efficient and effective grant submittal process by enforcing the grant submission policy to all investigators.  Administers the post award functions for the Grants Development Office related to daily business activities of the department.  Provides training of staff as needed in the grant review process as it relates to pre-award management.  Evaluates processes and procedures, develops budgets for review, and presents alternatives to problems for which there is no established approach.  Coordinates customer inquiries and assists with information pertaining to modifications of existing or potential contracts.  Maintains the grants and contracts database.  Responsible for producing ad-hoc reports as requested. Responsible for composing budgets, letters, and memorandums. 


PRIMARY QUALIFICATIONS: EDUCATION/TRAINING:  Bachelor’s Degree from an accredited four (4) year college or university in Social Sciences, Business Administration, or related field.  EXPERIENCE:  Two to four (2-4) years of experience in grants development or academic administration dealing with project management issues.  Experience dealing with procurement/fiscal issues.  Experience establishing and maintaining positive interaction and frequent contact with people from various disciplines.  ABIL/KNOW/SKILLS:  Knowledge of grant and contracts principles. Knowledge of Microsoft Word, Excel, and Access.  Effective written and verbal communication skills. Must possess a valid driver’s license (and if use of personal vehicle on the job is required, must also have valid personal driver’s insurance equivalent to Hawai‘i’s No-Fault Driver’s Insurance) and maintain throughout the duration of employment.    PHYSICAL/MEDICAL REQUIREMENTS:  Must be able to lift/carry up to fifteen (15) pounds unassisted. POLICY AND/OR REGULATORY REQUIREMENTS:  As a condition of employment, employee will be subject to all applicable RCUH policies and procedures and, as applicable, subject to University of Hawai‘i's and/or business entity's policies and procedures.  Violation of RCUH's, UH's, or business entity's policies and/or procedures or applicable State or Federal laws and/or regulations may lead to disciplinary action (including, but not limited to possible termination of employment, personal fines, civil and/or criminal penalties, etc.).  


SECONDARY QUALIFICATIONS:  Prior background as a project coordinator/assistant for a large, formalized Institution, (i.e. hospital or University).
