Job Description

Company with long-time roots in Hawaii has an opening for an Administrative Assistant to assist with clerical and office related duties. You will be tasked with preparing and processing various documents, creating and maintaining reports, and preparing invoices for payment. 


You will be working in a busy property management office so strong time-management skills and the ability to comfortably jump from task to task is a must. This is a full-time position with the ability to grow and progress in the role. 


Additional Responsibilities:


  • Compose letters and transmittals for ongoing projects, leases, and access permits
  • Prepare quarterly water billing
  • Arrange repairs when requested by tenants
  • Deposit lease funds and reconcile all deposits before sending it to the accounting department for processing
  • Prepare and process all applications 
  • Prepare monthly rosters, master lists, trespasser log, and security reports
  • Prepare and process all purchase orders, contract authorization forms, and requests for funds and petty cash
  • Prepare service agreements for various projects
  • Process all incoming and outgoing mail
  • Make travel arrangements for administrators, when requested
  • Perform other administrative duties as assigned


Required Education and Qualifications:


  • Minimum two years of administrative experience
  • Highly organized and attentive to detail
  • Ability to lift up to 25 lbs.
  • Proficiency with Microsoft Word, Excel, and Outlook
