Job Description

A busy office in Hilo is seeking a temporary professional and organized Administrative Assistant to serve as the face of their Hilo office. You will be the central point of contact for their clients and the operational backbone of their tax and administrative teams.

Full-time, 8 AM - 430 PM

Hilo, Big Island

Pay

$24 an hour

Responsibilities

  • Front-Office Excellence: Serve as the first point of contact, greeting visitors and managing incoming communications with a professional and welcoming demeanor.
  • Office Operations: Oversee daily administrative functions, including calendar management, meeting coordination, document preparation, and maintaining organized paper and electronic filing systems.
  • Tax Season Support: Play a vital role during our busy season by assisting with the tracking, processing, and e-filing of tax documents while ensuring strict client confidentiality.
  • Practice & Financial Support: Assist with billing processes, deposit checks, track receivables, and prepare time/expense reports to keep our operations running smoothly.
  • Document Management: Draft, proofread, and prepare professional correspondence, engagement letters, and reports for our partners and clients.
  • Team Collaboration: Partner with the broader firm administrative team to ensure consistent office standards, support special projects, and assist with general office maintenance.

Qualifications

  • Minimum 1 year of high level, Administrative Assistant experience required.
  • High school diploma or equivalent required.
  • Associate degree or higher in business administration or a related field preferred, but not required.
  • Strong customer service, communication, and interpersonal skills.
  • Professional appearance and demeanor appropriate for a leading professional services firm.
  • Ability to interact with clients, team members, and professionals in a courteous and professional manner.
  • Strong attention to detail and ability to produce accurate, complete work.
  • Ability to multi-task and prioritize work to meet internal and external deadlines.
  • Ability to work independently with minimal direction.
  • Experience using strong ethical standards, confidentiality, and sound judgment when handling client and Firm information.
  • Proficiency with Microsoft Word and Excel.
  • Ability to learn and use Firm software, practice management systems, and tax processing tools.
  • Comfortable working in a fast-paced client service environment.
  • Ability to comply to a National Criminal Background Check.
