Department:   Administrative Support Services

Job Status:   Full Time

FLSA Status:   Non-Exempt

Reports To:   Finance Manager

 

Amount of Travel Required:   None

Work Schedule:   Monday - Friday 8am-4:30pm

Positions Supervised:  None

 

POSITION SUMMARY

Under the general direction of the Finance Manager, this position is responsible for front office support to the organization as it relates to administration, human resources, and finance.

Essential Functions   

  • Assist with various administrative tasks to include data input, preparation of materials for presentations, filing and typing of documents, scanning and file maintenance, opening daily mail and follow mail processing procedures
  • Provide general human resources support including conducting new hire background clearances, entering new hires into payroll system, and coordinating new hire orientation
  • Provide general accounting support including data entry for accounts receivables, accounts payables, and purchase requisitions
  • Maintain administration office supplies and assist with re-ordering   
  •  Assure that office equipment (photocopier and other common equipment) in main office is serviced regularly and in good working order; provide troubleshooting for all staff members using such equipment; report needed repair or maintenance of office equipment to the proper personnel
  • Updates job knowledge by participating in educational opportunities
  • Protects organization's value by keeping information confidential
  • Maintain regular attendance to work
  • Maintain compliance with The Arc of Hilo’s Employee Handbook and Safety Handbook
  • Perform other job-related duties as assigned   

 

Minimum Qualifications

1.      High school diploma or GED and willing to learn.

2.      Effective communication skills, both oral and written.

3.   Ability to deal effectively with a variety of people in the workplace and the community

4.      Ability to effectively manage multiple tasks under tight deadlines

5.      Experience with Microsoft Word and Excel.  Ability to operate a variety of office machines including  a desktop computer, scanner, copier, and postage machine.

 

Other Requirements

Must be able to maintain an acceptable criminal abstract from the State of Hawaii, as determined by the agency; Must be able to maintain Protective Services Central Registry clearances from Adult Protective Services (APS) Central Registry and Child Welfare Services (CWS) Central Registry.
