We are seeking a highly organized, detail-oriented Program Assistant to provide administrative and operational support to the Project Manager at a local non-profit organization. This position plays a vital role in ensuring the successful coordination of community and health programs by managing the day-to-day administrative workflows associated with current and upcoming projects.
*Provide administrative support for health and community-based programs and projects.
*Coordinate scheduling for meetings, classes, workshops, and special events.
*Communicate with clients, participants, instructors, contractors, staff, and community partners.
*Process participant registrations and maintain accurate program records.
*Prepare class materials, program packets, and event supplies.
*Enter and maintain program data in agency databases and tracking systems.
*Assist with reporting, recordkeeping, and documentation to support program outcomes and funding requirements.
*Support outreach activities and assist with participant engagement.
*Coordinate facility reservations and logistics for classes and community events.
*Provide general administrative support, including filing, correspondence, copying, and document preparation.
*Assist with fiscal and budget-related administrative tasks as assigned.
*Perform other duties as assigned to support program operations.
*Associate degree in office administration, Business Administration, Public Health, or a high school diploma (or equivalent) with a minimum of four years of progressively responsible administrative experience.
*Minimum of two years of experience providing administrative, clerical, health education, community program, or related support.
*Experience using web-based applications and business software, including Microsoft Office Suite, electronic records systems, spreadsheets, databases, and other data management platforms.
*Experience with Smartsheet or similar project management software is highly desirable.
*Experience coordinating classes, workshops, community events, outreach activities, participant registration, scheduling, and follow-up communications is preferred.
*Ability to pass a background check and drug screen.
