Job Description

The AR Accountant is responsible for a broad range of financial functions supporting HomeAid Hawai‘i’s nonprofit development operations. This role encompasses both operational accounting and specialized project and donor funding, ensuring accuracy, compliance, and timely reporting across multiple funding sources and construction projects.

 

Duties and Responsibilities

 

Accounts Payable

  • Process vendor invoices and manage outgoing payments

  • Verify and reconcile invoices, maintain vendor records, and resolve discrepancies

  • Ensure compliance with organizational policies and accounting standards

  • Enter all authorized accounts payable transactions, including scanned backup documentation, accurately and promptly into the accounting system

  • Ensure all approved expenses are paid on time through ACH payments or check issuance

  • Communicate payment status updates to staff and vendors

  • Reconcile credit card payments and ensure timely and accurate entry

  • Process payroll, including benefits

  • Track staff payroll allocations across multiple public and private funding sources

Accounts Receivable

  • Track accounts payable invoices to ensure impact data is captured clearly for reporting purposes

  • Manage incoming payments and maintain accurate financial records, including mail processing

  • Invoice clients, track outstanding balances, reconcile accounts, and follow up on overdue payments

  • Maintain positive customer relationships and resolve billing issues through effective communication

  • Enter all income types, including receivables, checks, donations, and in kind support, into accounting systems with appropriate documentation

  • Enter donor information into the organization’s customer relationship management system

  • Issue donation acknowledgment and thank you letters

Construction Project and Donor Accounting

  • Oversee financial operations related to construction projects and donor funded initiatives

  • Track project expenses, manage budgets, and prepare detailed financial reports

  • Ensure proper allocation of funds in compliance with financial regulations, donor requirements, and project budgets

  • Collaborate with project managers, donors, and internal finance teams to ensure transparency and accuracy

Recordkeeping

  • Track depreciation, prepayments, and property documentation

  • Track 1099 contractors and prepare required 1099 documentation

  • Coordinate processing of G37 tax exemption forms and track tax exemption cost savings

  • Record and allocate payroll by funding source and project site

  • Process month end and year end accounting adjustments

Internal Controls and Procedures

  • Follow HomeAid Hawai‘i standard internal control policies for budget administration, cash management, and accounting practices

  • Provide recommendations and support updates to standard operating procedures to improve efficiency and accuracy

Other Responsibilities

  • Gather documentation required for tax filings and audits

  • Perform other related duties as assigned

Job Qualifications

  • Associate or bachelor’s degree in Accounting preferred, or equivalent combination of education and at least two years of hands on accounting experience

  • Experience with accounts payable, accounts receivable, construction project accounting, and donor or fund accounting

  • Nonprofit accounting experience or experience with a housing developer strongly preferred

  • Familiarity with GAAP accounting principles

  • Strong communication skills for working with vendors, donors, and internal teams

  • Solid understanding of accounting best practices and compliance requirements

  • Strong organizational skills with ability to self start, multitask, and adapt

  • Detail oriented with strong follow through

  • Ability to prioritize multiple deadlines efficiently

  • Ability to adapt to process changes

  • Passion for affordable housing development and serving individuals and families experiencing housing instability

  • Proficiency with QuickBooks, Bill.com, and Microsoft tools

  • Experience with Salesforce and Smartsheet preferred

  • Valid driver’s license and auto insurance required

  • Background check required

Physical Requirements

  • Ability to sit at a desk and use a computer for extended periods

  • Occasional standing, walking, bending, reaching, and lifting up to 25 pounds

  • Ability to operate standard office equipment

  • Hand eye coordination and manual dexterity

  • Visual acuity to read printed and electronic documents

  • Ability to communicate verbally and in writing

  • Hearing and speaking abilities for in person, phone, and video conversations
