Job Description

The Food Service Administrative Assistant works with customers to create daily production records and delivery receipts.  Works with the Drivers on all delivery issues.  Retrieves, consolidates, inputs and disperses daily transactions.  Maintains accurate daily and contract records.  Provides excellent customer service, including coordinating catering bookings.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

Prepares and distributes delivery information to drivers.  Works closely with drivers to resolve issues that may arise.

Gathers and organizes documentation received from drivers.  Disseminates to the appropriate departments.

Responds to all catering inquiries on a timely basis providing excellent customer service.  Works with the Kitchen manager to ensure all orders can be fulfilled as requested.

Disseminates the monthly menus.

Works with customers to gather meal counts and special dietary needs.

Prepares daily production records and distributes meal information to the Kitchen.

Prepares, distributes and enters all information required on sales to customers.  Generates the invoice on catering orders.

Assists in tracking and monitoring contract requirements.

Closes the POS system daily and reconciles daily transaction for Finance.

Answers phone calls and provides information and assistance to all levels of staff, clients, and to external consumers.  Provides excellent customer service.

 

OTHER DUTIES:

Works with Marketing on sales and customer service issues.

Ensures compliance to all safety and sanitation procedures and practices.

Attend training sessions/classes as mandated by organizational policy/goals and/or as recommended by the Manager.

Sets a good example for trainees (e.g. personal appearance, punctuality, attendance, mature and professional attitude, etc.).

Demonstrates the organization’s values of teamwork, excellence, achievement and motivation in all personal interactions with others.

Performs other duties as required.

 

MINIMUM QUALIFICATIONS:

High School diploma or equivalent with 3 – 5 years related work experience;

Effective communication skills: verbal, written, and listening skills.

Experience in food service, customer service and/or training programs is desirable.

Advanced proficiency in computer software using MS Word, Excel, & Outlook and the ability to learn other database applications.

Demonstrates strong organizational, administrative, and time management skills.

Possesses excellent customer service skills including proficient telephone and email skills.

Demonstrates ability to establish workload priorities and balance diverse projects.

Valid driver’s license and provide satisfactory driver’s abstract.
