Job Description
Perform administrative duties for the Executive Director of the Foundation/Vice President and fundraising staff. Assists in matters pertaining to the Foundation Board of Directors. Collect and enter data into donor management database, generate donor acknowledgement letters, assist with research, maintain grant proposals and reports, keep track of records, answer telephone, respond to correspondence and emails and schedule meetings. 
 
ESSENTIAL DUTIES & RESPONSIBILITIES:
1.Provide technical and administrative assistance to support fundraising operations and activities.
2.Provide general office support including assisting with front desk reception, printing and folding brochures, word processing and website maintenance.
3.Assist with updating donor management database and generating donor acknowledgement letters.
4.Assist with donor and prospective donor inquiries. 
5.Assist with website and donor-related correspondence and communications.
6.Assist with researching corporate, foundation, and government prospects.
7.Track grant deadlines and maintain grant records.
8.Compile grant and business proposals, surveys and reports. 
9.Assists in coordinating and scheduling Foundation Board of Directors meetings, tours, and donor-related visits and events. 
10.Collect data for preparation of monthly, quarterly, annual program reports and any required special reports.
11.Sort, file, index, and pull records and documents.
12.Follow-up on tasks or assignments in writing, phone calls or in person.

WORKING HOURS:
Monday-Friday 8:00 a.m. - 4:45 p.m., may be required to work outside of normal business days and hours
  
EQUIPMENT USE:
1.Computer proficiency in Word, Excel, graphics, database and other comparable programs.
2.Experience in use of donor management databases is preferred.
3.Other standard office equipment.

4.Must be able to deal with ambiguity, ask questions, and be to switch priorities as required.
5.Ability to handle multiple tasks simultaneously.
6.Requires the willingness to gain and possess a thorough knowledge of Lanakila Pacific programs.

COMMUNICATION DEMANDS:
1.Requires the ability to communicate effectively both orally and in writing in the English language.
2.Ability to give clear information or directions to others using various communication methods.
3.Must respond timely and appropriately to all telephone calls and in-person donor visits.
 
MINIMUM QUALIFICATION REQUIREMENTS:
Education/Experience:
1.Associate Degree with a concentration in Business and 5 years of related administrative experience 
2.Three years customer service experience or in general office work.
 
Skills/Knowledge/Abilities:
1.Demonstrate intermediate level computer proficiency to include word processing, spreadsheet, database applications and graphics skills in various software.  
2.Demonstrate ability to exhibit proper phone etiquette and customer service skill.
3.Demonstrate ability to proof read correspondences or reports for spelling and grammar.
4.Demonstrate understanding of Lanakila Pacific’s programs
