Job Description

Mana Up is looking to hire an Administrative Assistant at our office location in Honolulu. The ideal candidate is an organized, efficient, and detail-oriented professional who can communicate well with the team members in the hybrid office environment.


Customer Service:

  • Be the first point of contact for inquiries through Mana Up and House of Mana Up online retail sites
  • Manage the status of online orders and follow up with the person/team in change internally
  • Build and maintain relationship with delivery companies such as UPS and FedEx
  • Prepare daily reports on order status


  • Generate periodic reports from the retail and inventory systems
  • Support the program manager to run weekly program workshop when in session (May to October)
  • Assist various corporate and retail events such as conference booth and pop-up shopping events
  • Help maintain Mana Up teamspace in Notion with most updated information
  • Manage and files, documents, and other paperwork
  • Act as a point of contact for donation requests to Mana Up
  • Coordinate retail signage and marketing assets orders under guidance of manager
  • Schedule internal and external meetings
  • Office upkeep (light cleaning/organization, collect and distribute mail)
  • Assist with company travel arrangements
  • Maintain inventory of office supplies and event supplies and replenishing when necessary
  • Run various routine errands for the company
  • Perform other administrative duties as assigned by management


  • In office: Tuesday (12 pm - 8 pm), Wednesday (9 am - 5 pm), Thursday (9 am - 5 pm)
  • Additional work from home hours may be available 


  • High school diploma or equivalent
  • Demonstrated organizational skills and attention to detail
  • Professional demeanor
  • Ability to work independently and on a team
  • Proficiency in Google Business, Slack and Notion preferred
