Role Description

This is a full-time on-site role for an Administrative Assistant, based in Honolulu, HI. The

Administrative Assistant will handle daily clerical tasks, manage executive administrative

responsibilities, and communicate effectively with internal and external stakeholders. They will

also be responsible for maintaining phone etiquette, scheduling appointments, organizing records,

and supporting teams to ensure seamless office operations.

 

Responsibilities:

  • Welcome visitors
  • Answer phones and field calls in a professional manner.
  • Sort and distribute incoming mail and deliveries.
  • Restock office and kitchen supplies.
  • Assist with the planning and coordination of office events, including client meetings, office lunches and presentations.
  • Manage office care services.
  • Direct contact for corporate administration
  • Point of contact with property management and other third-party services.
  • CRM data support for Investment team.
  • Assist with month end accounting tasks as directed by the accounting team.
  • Assist with administrative support as needed and other responsibilities from the Director of HR & Administration.
  • Collect client documents and upload to shared drive with correct labeling conditions
  • Update internal systems with updated client information
  • Assist the Investment team with day to day operations

Qualifications:

  • 3 years experience in a professional environment
  • Administrative office experience required
  • Microsoft Office knowledge required
  • Excellent written and verbal communication
  • Able to prioritize tasks
  • Must exhibit a solid professional business image with a team player attitude
  • Excellent organizational skills and a high level of attention to detail
  • Ability to work within a team environment
  • Ability to take initiative and work independently
  • Ability to work in a fast-paced and demanding environment

Job Type: Full-time, in person – Honolulu, HI

Pay: $25 per hr

Schedule: M – F 9:00am – 5:30pm
