Administrative Assistant
Our nonprofit organization is seeking a dedicated and detail-oriented Administrative Assistant to join our team. This position plays a vital role in supporting our mission by managing essential office operations and ensuring smooth client service delivery. The ideal candidate will demonstrate professionalism, compassion, and strong organizational skills while working in a dynamic social services environment.
Responsibilities:
Perform general office reception duties including answering phones, logging calls from potential clients, and contacting staff counselors with potential client information. Maintain office supplies through purchasing and restocking as needed. Complete deposits by preparing deposit slips and tracking reimbursements. Prepare health insurance billing and work to resolve denied claims. Manage the client intake process by collecting client forms, entering client data, and performing insurance verification. Maintain both paper and electronic records by organizing and filing client records according to established protocols. Perform client collections activities including mailing client statements, charging credit cards, and posting client payments. Mail newsletters, marketing materials, and donor correspondence to support organizational outreach. Enter client surveys, evaluations, and report data accurately and in a timely manner. Complete insurance panel credentialing by responding to provider relations requests and filling out and submitting applications. Coordinate community workshops with staff counselors by managing event logistics, marketing, event registration, and workshop materials. Contribute to growing the organization's social media presence through regular engagement and content sharing.
Requirements:
Demonstrate responsibility, strong organizational abilities, and exceptional attention to detail. Display sensitivity to clients' emotional situations and maintain appropriate boundaries. Possess professional and compassionate phone skills when interacting with clients and stakeholders. Show proficiency with Microsoft Word and Excel. Maintain compliance with HIPAA regulations at all times. Computer literacy is essential, and experience with Electronic Health Records systems is preferred. Training will be provided for specific organizational systems and procedures.
Education:
High School Diploma required. Associate Degree preferred.
