                                                            Administrative Coordinator

                                                             POSITION DESCRIPTION


Established in 2007 as a Honolulu-based 501(c)3 non-profit, Kupu empowers future generations to create a more sustainable Hawai‘i. The organization provides hands-on training and national service programs that educate and mentor youth to become stewards of culture and environment. Kupu has provided opportunities which have trained more than 4,000 young adults and emerging professionals in conservation, sustainability, and environmental education. These young adults have supported Kupu partners to provide more than 3 million hours of service, which has culminated in planting over 1 millionnative plants and removing over 100,000 acres of invasive species. For their service, Kupu has presented $5.5 million in education awards to support the continued growth of its members. To date, Kupu has generated more than $130 million in economic benefits to the state of Hawai‘i.

Program/Department Goals

The Program Administrative team works to support and drive all administrative functions for Kupu programming. Such functions include but are not limited to application collection, onboarding, exiting, AmeriCorps regulations, etc.


Position Overview

The Administrative Coordinator works closely with program admin and other staff to ensure the proper execution of internal systems, procedures and policies. Administrative Coordinators act as the point of contact to program partners and participants for relevant areas, including but not limited to onboarding, exiting, program requirements, etc.

Position Duties

Primary duties for the Administrative Coordinator position includes, but is not limited to, the following:


Program Administration

  • Coordinates and facilitates program administrativerequirements
  • Works with program participants to ensure timely and compliant submission of administrative requirements (i.e. onboarding, mid-term, exiting, etc.)
  • Acts as POC for general program applicationinquiries
  • Coordinates incoming applications and interviewcoordination
  • Coordinates timelines for interview and selectionprocess
  • Creates program rosters andreports
  • Prepares and communicates relevant materials, including acceptance packets, letters of regrets, etc.

Orientation &Training

  • Supports as needed with the planning and facilitation of program orientations andtrainings
  • Assists in assembling and distributing relevant program materials (i.e. handbooks, paperwork, etc.)

Program logistics

  • Assists with the coordination and logistics for relevant program events andinitiatives
  • Other coordination duties asneeded

Position Requirements

Candidates must meet the requirements below in order to be considered for the position:

  • Available full-time Monday through Friday, as well as occasional weekends andevenings
  • High SchoolDiploma
  • High comfort and ability to work out of basic Microsoft office and google programs (i.e. excel, word, gmail, google docs,etc.)
  • Effective verbal and written communicationskills
  • High attention to detail and ability tomulti-task
  • Effective teamplayer

Preferred Qualifications

It is preferred that the applicant has the following:

  • Associate’s degree orhigher
  • Valid driver’slicense
  • Office administrativeexperience
  • Experience with planning and coordinating programs andevents
