Pay Range: $22.00 to $23.50 per hour

Work Hours: Monday-Friday 8:00am – 5:00pm. Some evenings and weekends.

 

Job Summary:

Under the general direction of the Chief Advancement Officer, the Advancement Coordinator oversees advancement department administrative activities, including the department budget, records management, and standard operating procedures. In addition, the Advancement Coordinator ensures that the museum’s membership, annual fund, and individual donor programs deliver transformative gifts benefiting HoMA’s organizational strategies and annual plans.

 

 

Minimum Qualifications:

  • College degree with 2 years in fundraising or equivalent combination of experience and knowledge.
  • Rigorous attention to detail, excellent organizational abilities, and ability to manage multiple deadlines while working under time constraints and the needs of both donors and the Museum.
  • Proactive and creative solution-seeker and decision maker who navigates and mediates between diverse teams of people.
  • Demonstrated experience cultivating and soliciting donors giving greater than one thousand dollars.
  • Demonstrated experience hosting donor engagement events and activities.
  • Ability to embrace innovative ideas while adhering to museum policies and keeping property and budget in mind.
  • Previous experience with CRM (Constituent Relationship Management) donor database such as Tessitura or Raiser’s Edge for data entry, report generation, and fundraising analysis.
  • Excellent interpersonal, written, and verbal skills.
  • Ability to be inclusive and make donors, volunteers, and visitors feel that they are important to and welcome at the museum.
  • Performs and completes all duties and responsibilities in a courteous and timely manner.
  • Respectful of the needs of the museum community, including employees, donors, members, volunteers, visitors, and other constituencies.
  • Excellent computer skills, including Microsoft Office Suite.
  • Ability to handle sensitive information confidentially and adhere to the fundraising code of ethics.
  • Honesty, integrity, enthusiasm, perspective, and a strong work ethic supported by commitment and follow-through.
  • Ability to work within and support a diverse community of visitors, artists, and employees.
  • Ability to build, lead, and develop a driven, diverse team of employees and volunteers.

Desired Qualifications:

  • 2 or more years of professional non-profit organization membership and major giving experience.
  • 2 or more years of experience with creating positive interactions with major donors, sponsors, partners, and stakeholders resulting in meeting and/or exceeding both fundraising and donor relations goals.
  • Demonstrated experience with membership, prospect research, and major donor fundraising.
  • Experience working with a high volume of donors and volunteers.
  • Understanding of Honolulu Museum of Art’s established identity and dedication to advancing it.

Essential Duties:

  • Works with the Chief Advancement Officer to coordinate departmental activities, team training on best practices, Records Management, and event response coordination.
  • Works directly with the Chief Advancement Officer to reconcile credit card receipts, invoices and coordinates accommodations and travel arrangements for Adv. Dept guests.
  • Manages and oversees the museum membership program, while supervising the Member and Donor Services Assistant to ensure all gifts are properly recorded and acknowledged.
  • Annually reviews and updates the museum membership model and benefit package.
  • Develops donor cultivation, acknowledgement, and stewardship strategies while ensuring proper tracking of donor engagements in the museum donor database in partnership with the Advancement team.
  • Works directly with the Collector and Fellows level members to further build relationships in the donor pipeline.
  • Manages all coordination for museum Collector/Fellows Membership monthly engagement events.
  • Interfaces with museum trustees, event leadership committees, and high-level donors and supporters.
  • Supervises department volunteers on special projects.

Working Conditions and Atmosphere:

The Advancement Coordinator works with minimum supervision. Work will often be performed with short deadlines and situations sensitive to the Museum. Regular office hours are required. Due to the nature of the responsibilities, evening and weekend work is sometimes required, and at times may be on an emergency basis.
