Job Description

JOB PURPOSE

Responsible for safeguarding the financial resources of the organization, the Finance team manages the financial activities of Lili’uokalani Trust (“Trust”). Reporting directly to the Controller, the Assistant Controller manages the day-to-day operations of key accounting functions, providing both leadership and expertise to the team. The position requires strong management experience and functional expertise, exceptional attention to detail, an orientation towards being of service, and a passion for the work of the Trust.
 

ESSENTIAL RESPONSIBILITIES
 

Leadership:

  • Lead by example in managing a team of accounting professionals, driving results through the use of data, direct feedback and strong accountability in a supportive and learning-driven environment that fosters high staff engagement and professional growth
  • Serve as a subject matter expert for functional area under management; create and deliver trainings on relevant accounting-related topics to staff
  • Collaborate with intra and inter department team members, providing and exchanging information regarding existing and/or new business processes and projects, and communicating possible implications for the teams
  • Set the bar for customer service excellence by providing timely, thorough and friendly responses to internal and external stakeholder inquiries
  • Represent the finance team on cross-functional organizational projects as needed.
  • Complete reports as directed by Financial Leadership [Chief Financial Officer and Controller]
  • Take direct instructions from the Chief Financial Officer and other executives

 

Accounting Operations:

  • Manage daily accounting operations for all aspects of the accounting cycle. This includes, but is not limited to:
  • Oversee the daily operations of the Finance Department to ensure the accuracy (no significant or reportable audit findings/adjustments) and consistency of data for accounts payable, employee expense reporting, cash management, job costing, fixed assets, payroll, investment management, property management and the general ledger.    This also involves directing the month-end closing process by established deadlines, and ensuring that accounts are properly reconciled in a timely manner (no items aged over 120 days and all accounts reconciled at least semi-annually).
  • Manage communication and tracking of team’s deliverables for monthly accounting close, providing transparency and accountability across the team for completion of associated task to ensure accurate and timely close and continue to improve the close process
  • Monitor compliance with internal and state and/or federal policies, adherence to accounting best practices and ensure the adoption of procedures for timely and efficient processing.
  • Serve as secondary system administrator and content expert for accounting system (SAGE), supporting user profile maintenance and suggesting changes to accounts, departments, departments, etc. as needed
  • Monitor team metrics to evaluate transaction volume, team performance and customer service effectiveness

 

Compliance & Reporting:

  • Lead relevant audits, including serving as the main liaison with auditors, preparation and/or review of audit materials and schedules, and managing deliverable deadlines with internal contributors and auditors
  • Lead the preparation of periodic tax and regulatory filings, providing accurate data for internal review and timely submission to appropriate agencies
  • Produce and/or review monthly, quarterly and annual accounting schedules and reports, including account reconciliations, and quarterly financial package for the Board of Trustees
  • Develop and document business processes and accounting policies to maintain and strengthen internal controls
  • Review  work product of department and perform periodic internal audits of accounting transactions and procedures to ensure quality control over financial data and alignment with relevant fiscal policies
  • Develop and document business processes and accounting policies to maintain and strengthen internal controls
  • Assist the finance team with the preparation of the budget and financial forecasts and report variances
  • Assist the Controller with technical accounting research, interpretation, and implementation of new and existing accounting pronouncements

 

OTHER DUTIES

  • Contribute to the Trust’s success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results
  • Assist with ad hoc accounting and other projects as requested
  • Backfill for the Controller where applicable

 

MINIMUM QUALIFICATIONS

  • Bachelor’s degree, with major or area of study in accounting or finance with at least five years of relevant work experience and two years leading a team
  • Extensive knowledge of GAAP and current accounting best practices, including upcoming regulatory changes to reporting requirements.
  • Strong interpersonal skills that contribute to a collegial working environment.
  • Self-starter who takes initiative, prioritizes with minimal supervision, and works independently, as well as part of a team.
  • Excellent organizational and planning skills with demonstrated ability to create structures to effectively manage personal and team deliverables
  • Demonstrated ability to speak and write in succinct, informative and friendly manner such that content expectations and timelines are clearly understood by audience
  • Ability to thrive in a fast-paced environment and is both quick and meticulous, and puts emphasis on accuracy and quality, and strives for continuous improvement
  • Ability to adapt well to changes and ambiguity
  • Ability to manage multiple priorities from a variety of sources; prioritizing effectively to impact areas of greatest need and meet deadlines
  • Advanced knowledge of accounting and reporting software with aptitude for learning new financial technology

  • Strong working knowledge of Excel (intermediate level or higher).

 

PREFERRED QUALIFICATIONS

  • Certified Public Accountant or Certified Management Accountant
  • Experience in project management

MENTAL AND PHYSICAL DEMANDS

 Ability to lift boxes containing office equipment or records up to 25 lbs pounds and lift them into cabinets or stack them 3-4 feet above floor level.

  • Requires frequent sitting—over 50% of the time.
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Needs to travel, on occasion, via ground transportation or air to other office locations.
  • Frequently communicates in writing or verbally in person or over the phone with co-workers to answer questions and assist with finance related matters.
  • Frequently reads and interprets written agreements, requests for funds and other written material and interprets them to determine action needed to be taken.
