POSITION SUMMARY
The Program Specialist (Better Together Coordinator) provides administrative support to the core team administering the Better Together (BT) training, currenly housed under the Director of Strategy and Innovation. This position is on-call and expected to work 10 hours / week.
The Program Specialist (Better Together Coordinator) must demonstrate an active commitment to the EPIC ‘Ohana mission and vision, and to strive to incorporate EPIC ‘Ohana’s values1 in all aspects of daily work.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Program Duties:
- Assist Director of Strategy & Innovation, and related staff with a variety of tasks including, but not limited to general administrative and clerical support (managing/organizing files, email correspondence, faxing, phone calls, and other computer work).
- Monitor and update various files, lists, forms, and plans for the BT training.
- Schedule, coordinate/prepare, and actively participate in planning meetings.
- Assist in monitoring outcomes for program participants which may include data entry of pre-post questionaires, collecting moʻolelo (stories), etc.
- Participate in curriculum reviews, faciliator trainings and other meetings as deemed appropriate.
- Provide logistical and administrative coordination as well as on-site support for BT trainings, internal work groups and team huddles, and past participant convenings.
- Provide communication and marketing support, develop and upload content for website and SharePoint application, create and send out marketing emails, etc.
- Help team members to aarrange travel reservations as needed.
- Recording (scribing and capturing group memory) when needed.
- Ensuring team members are well informed via timely and effective communication.
- Managing and replenishing training and office supplies as needed.
- Run out-of-office errands and light field work as needed.
Partner Responsibilities:
- Identify Community partners, referral sources and resources.
- Coordinate regular meetings with community partners, specialty courts, and agency partners to maintain relationships and collaborative processes.
Resource Responsibilities:
- Develop and maintain Resource Manual.
- Establish referral sources and maintain contact with resources. Events Duties:
- Coordinate BT trainings from start to end, including registration, setup, and post-training tasks.
- Coordinate BT alumni and community convenings from start to end, including registration, setup, and post-event follow-up.
OTHER DUTIES/FUNCTIONS
- Perform other related duties, as required and assigned.
- Regular attendance, required.
- Responsible for office maintenance, as needed.
- Responsible for awareness and adherence to all company and safety policies and procedures.
- Attend and participate trainings, all staff meetings, and individual supervision, as scheduled.
- Recommend improvements and/or enhancements of job processes and work environment to ensure high quality levels of service deliverables.
- Addresses appropriate needs with manager.
MINIMUM QUALIFICATION REQUIREMENTS
- Must have a Bachelor’s degree in a related field from an accredited institution of higher learning; and
- A minimum of one (1) to two (2) years related experience and/or training; or equivalent combination of education and experience
- Must maintain an ethical, responsible and professional attitude and demeanor under all circumstances in person, by phone, email and correspondence, in order to effectively and efficiently engage and maintain working relationships with families, professionals and youth who are undergoing complex and crisis situations.
- Team player with a positive attitude and the ability to interact with all levels of the organization.
- Experience with or willingness to learn new software and apps such as Canva, Cognito Forms, Survey Monkey, Doodle, and MailChimp.
- Experience with Microsoft Office and Office 365.
- Demonstrated a high degree of professionalism and maturity.
- Committed to quality and performance improvement.
- Successful criminal and child abuse and neglect background clearance as required by state regulations for those who work with children and families in the Child Welfare System.
PREFERRED QUALIFICATION REQUIREMENTS
- Familiarity with the Foster Care System (DHS-CWS) strongly preferred.
- Individuals with culturally relevant training and/or experience specific to the community served, preferred.
- Valid driver’s license, no-fault automobile insurance, acceptable motor vehicle abstract2, and access to an insured, preferred
