Regular, Full-Time, RCUH Non-Civil Service position with the Corporate Services Department, Research Corporation of the University of Hawaiʻi (RCUH) core staff, located in Honolulu, Hawaiʻi. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MONTHLY SALARY RANGE:  $4,000-$4,500/Mon. 

 

DUTIES:  Provides administrative and fiscal support for three (3) RCUH core staff departments—Corporate Services, Finance, and Human Resources— including preparation of orders, payments, office contracts, employee reimbursements, travel documents, communications. Handles office contracts, including renegotiations. Point of contact for all facility work orders, room reservations, parking requests, and RCUH visitors at Burns Hall. Maintains room and parking requests calendar, inventory of office supplies, equipment service calls,  and postage meter replenishment. Performs notary services for RCUH constituents. Coordinates staff meetings, activities (i.e., Foodbank, site visits to projects). Delivers outgoing mail to Campus Mailroom. Coordinates RCUH Service Award Program. Maintains RCUH Staff Directory. Updates monthly email list for e-Newsletter. Monitors and uploads RCUH Training Portal enrollments. Coordinates shared services (e.g., shred, storage, water, deliveries and pick-ups). Develops and maintains positive relationships with core staff, East-West Center staff, vendors, and clients. Assists with onboarding and offboarding RCUH Core Staff. Assists with Corporate Services special events as needed. Helps organize and maintain office common areas. 

 

PRIMARY QUALIFICATIONS:

EDUCATION

Bachelor’s Degree from an accredited four (4) year college or university in Business, Human Resources, Project Management, Information Technology, Communications, or a related field of study that provides skills and training necessary to perform major functions and duties of the job.

EXPERIENCE

Three to five (3-5) years of experience in providing administrative or fiscal support.

KNOWLEDGE

Strong knowledge of standard office practices, planning/organizing, and Microsoft applications (e.g., Word, Excel, PowerPoint).

ABILITIES & SKILLS

Must have a positive attitude and excellent communication skills, both oral and written. Strong ability to multi-task, plan, organize, and coordinate daily activities in a fast-paced work environment; produce work that meets high professional and quality standards within deadlines; work well with people from diverse fields and backgrounds; and adhere to RCUH Statement of Values. Self-starter who demonstrates initiative, resourcefulness, flexibility and creativity, and can exercise professional and administrative authority, sound judgment, and ethical conduct. Proficient with Microsoft Office and other office software. Must possess a valid driver’s license (and if use of personal vehicle on the job is required, must also have valid personal driver’s insurance equivalent to Hawai‘i’s No-Fault Driver’s Insurance) and maintain throughout the duration of employment. Post Offer/Employment Condition:  Must be able to pass a post offer criminal background check for working with highly confidential and sensitive information which includes being fingerprinted and having a federal background check performed. Must be able to complete the UH Title IX training and Workplace Violence Prevention trainings within twelve (12) months from date of hire and re-certify every two (2) years.  Must be able to complete the Hawai'i State Ethics Code Training within three (3) months from date of hire, and re-certify every four (4) years.  Must be able to complete the UH Information Security Awareness Training (ISAT) within two (2) weeks from date of hire, and re-certify every twelve (12) months.  Must be able to complete the requirements for a Hawaiʻi notary public, including taking and passing a written examination within twelve (12)months of hire, and performing the notary public’s duties with confidence and professionalism.

PHYSICAL/MEDICAL DEMANDS

Must be able to lift and carry up to thirty-five (35) pounds unassisted. Must be able to sit at a desk for long periods of time. Must be able to walk long distances.

POLICY/REGULATORY REQUIREMENT

As a condition of employment, employee will be subject to all applicable RCUH policies, procedures, and trainings and, as applicable, subject to University of Hawai‘i's and/or business entity's policies, procedures, and trainings.  Violation of RCUH's, UH's, or business entity's policies and/or procedures or applicable State or Federal laws and/or regulations may lead to disciplinary action (including, but not limited to possible termination of employment, personal fines, civil and/or criminal penalties, etc.). 

 

SECONDARY QUALIFICATIONS:    

Knowledge of office practices in a research administration organization. Knowledge of RCUH policies and procedures. Experience with RCUH Financial System. Active Hawaiʻi notary public. Experience with project management, event coordination. Experience with bulk email services (e.g., Mailchimp, Constant Contact). Experience with posting website content using WordPress.
