Advance Hawaiian Humane’s mission by ensuring accurate, timely, and well-governed organizational data that supports informed decision-making, operational effectiveness, grant reporting, and process improvement. This position analyzes and reports data from key systems, maintains data integrity, and serves as a collaborative resource for departments across the organization.
ESSENTIAL DUTIES/FUNCTIONS:
- People Care. Ensuring internal and external patrons (employees, volunteers, Hawaiian Humane partners and community members) and their needs are a primary focus. Communication and contact must be clear, understandable, cooperative, professional and respectful in all circumstances and will occur face to face, telephone, and electronic mail. Employees are expected to actively support a positive team environment, directly address conflict with the goal of problem solving, and appropriately express concerns. This position interacts with and collaborates with employees and volunteers at all levels of the organization.
- Customer Care. Deliver high-level customer service to Hawaiian Humane internal customers and community members. Communicate with a diverse group of people in a consistently compassionate, informative, respectful, and professional manner. Manage emotionally difficult situations with strong communication skills and empathy.
- Statistical Reporting & Data Analysis. Compiles, analyzes, and reports organizational statistics for Senior Leadership and supports ad hoc reporting needs across the organization. Sources data from PetPoint, Clinic HQ, and other systems; verifies accuracy; and investigates variances and anomalies. Produces reports, graphs, trend analyses, and Excel trackers, including data mapping for the annual Legislative session. Writes and runs SQL queries leading to report development. Documents analytical methods, trains others on data collection practices, and provides data-driven recommendations for process improvement.
- Data Confidentiality & Governance. Handles organizational data with the highest degree of discretion and integrity. Maintains confidentiality of sensitive operational, financial, and programmatic information and ensures data is accessed, stored, and shared in accordance with organizational policies and applicable regulations.
- Grant Reporting Support. Collaborates with the grant writer and relevant departments to pull, compile, and format statistical data required for grant applications, reports, and funder deliverables. Ensures accuracy and timeliness of data provided in support of the organization’s fundraising and compliance obligations.
- Database Management & Data Entry. Maintains accurate and up-to-date records in PetPoint, Clinic HQ, SQL and other organizational systems. Performs routine and ad hoc data entry as needed to ensure data integrity across platforms, supports and trains staff in proper data entry practices and system utilization.
- Reporting Calendar & Distribution Management. Maintains a reporting calendar to ensure timely preparation and delivery of recurring reports. Manages distribution lists and ensures the appropriate reports reach the correct stakeholders on schedule.
- Interdepartmental Communication & Collaboration. Serves as a key resource across departments for data needs, and process improvement initiatives. Builds and maintains effective working relationships with staff at all levels, proactively communicating findings, timelines, and data-related updates to support informed decision-making organization-wide.
OTHER DUTIES/FUNCTIONS
- Operations Support. Work with other departments within the organization to resolve issues of mutual concern and improve operations.
- Other Duties as Assigned. May include organization-wide support as needed, including but not limited to participation in events, public speaking, fundraising, covering other operational departments, and assisting with Hawaiian Humane’s role as a first responder to disasters.
JOB CONDITIONS:
- Work Environment: Indoors in an air-conditioned office.
- Equipment Use: PC (Google, Word, Excel, Adobe, Canva, PetPoint or Animal Shelter Management systems, SQL Server Management Studio, Microsoft Visual Studio), copy machine, scanner, fax machine, telephone, and other office equipment.
- Work Hours: Regular 40-hour work week, Monday – Friday typical schedule, with other hours based on operational requirements and other needs.

- Proficiency in Microsoft Office and ability to learn new systems quickly.

QUALIFICATION REQUIREMENTS:
- Skills/Knowledge: Proficient in Microsoft Office Suite and database platforms, with the ability to quickly learn new software and systems. Knowledgeable in modern office procedures, equipment operation, and professional communication etiquette. Familiarity with Lean Six Sigma or other process improvement methodologies preferred.
- Microsoft SQL Server: Proficient in SQL Server database development (database design, writing queries and stored procedures, etc.) and Server Administration. Proficient in SQL Server Reporting Services and Visual Studio for report design.
- Microsoft Windows Server: Proficient in basic server operations, task scheduling and file management.
- Education/Training: Associate’s degree/Bachelor’s degree in Math, Computer Science, Statistics, or equivalent portfolio/experience.
- Experience: 3 years of data entry, statistical and analytical experience.
