Donor Services Manager
POSITION DESCRIPTION
Established in 2007 as a Honolulu-based 501(c)(3) non-profit, Kupu empowers future generations to create a more sustainable Hawai‘i. The organization provides hands-on training and national service programs that educate and mentor youth to become stewards of culture and environment. Kupu has provided opportunities that have trained more than 5,000 young adults and emerging professionals in conservation, sustainability, and environmental education. These young adults have supported Kupu partners to provide more than 3 million hours (about 342 years) of service, which has culminated in planting over 1 million native plants and removing over 100,000 acres of invasive species. For their service, Kupu has presented $6.3 million in education awards to support the continued growth of its members. To date, Kupu has generated more than $153 million in economic benefits to the state of Hawai‘i.

Position Overview
The Donor Services Manager helps fulfill the mission of Kupu as a member of the Philanthropy team. Specifically, this position is responsible for serving as the lead for the department’s fundraising and donor relations operations including management of the donor database, the gift and acknowledgement process, and department administration. This position plays a key role in maintaining the donor system of record, maintaining excellent donor communication and satisfaction through timely donor acknowledgement, donors being the organization’s critical revenue source. This position reports directly to the Vice President of Philanthropy.

Position Duties
Gift Processing and Acknowledgement
- Manage and execute daily gift processing that include recording donations, pledges, legacy commitments, non-cash gifts, in-kind gifts, workplace gifts, and online gifts
- Generate and verify gift receipts, generate and maintain acknowledgement letters, pledge reminders, recognition lists, gift agreements, pledge forms, and online donation forms
- Create and maintain regular contribution progress reports and data necessary for leadership, Board of Directors, and donor communications reporting
- Oversee the accurate entry and timely processing of donation data into Salesforce
- Manage the production of timely gift acknowledgements to donors
Donor Database Management
- Manage and input constituent record updates (adding, merging, updating addresses, logging engagement activities) in Salesforce CRM platform
- Build complex queries related to gift reporting, donor segmentation, fundraising goals overall and by program, gift solicitation, and prospect research
- Provide comprehensive data analysis & revenue reports
- Generate and manage accurate mailing and donor lists
- Lead and execute donor data clean-up and maintenance schedule
- Manage, create, and record peer-to-peer fundraising activities & crowdfunding platforms (Classy)
Administrative Support
- Assist the VP of Philanthropy with scheduling, expense reports, donor events, donor correspondence and task management as needed
- Collect program-related and impact data for grant applications and final reports, as well as support proposal development
- Assist with donor communications and documents for accuracy, completeness, format, and grammar
- Ensure that Philanthropy department files, both electronic and paper, are organized and current
- Maintain and manage clear and accurate donor services operations documents and procedures (for reference purposes), including creating best practices guidelines and standards
- Assist in the implementation of fundraising events such as annual fundraising events, donor and prospect gatherings, and donor engagements including the creation and management of invitation lists, RSVPs, event production and follow-up activities
- Assist with special projects such as special grant opportunities, special events and other activities as needed
- Works with various internal teams (e.g., finance, communications, grants & contracts, compliance, external affairs, etc.) to achieve development goals.
Position Requirements
- Previous experience in fundraising, nonprofit management, donor relations or customer service
- Experience and proficiency with a customer relationship management (CRM) platform, Salesforce preferred
- Experience maintaining complex calendars and coordinating meetings/events
- Excellent verbal and written communication and interpersonal skills
- Attention to detail and strong organizational skills
- High degree of proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint)
- Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision
- Ability to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results
- Tact, poise, professionalism, diplomacy, and a good sense of humor; the ability to work with a team and to interact with people from all walks of life
