EXECUTIVE ASSISTANT

Role Summary
The Executive Assistant supports the Vice President by carrying out assigned tasks across HR, IT, Marketing, Sales, and general office functions. The person who succeeds in this role is steady, organized, and reliable. They follow processes, ask questions when needed, complete tasks accurately, and communicate early when something is unclear or delayed. They do not need constant reminders, and they maintain confidentiality and professionalism in all areas they touch.

Success in this role means keeping routine work on schedule (payroll, benefits questions, onboarding steps, event logistics, basic IT support, documentation, and receptionist backup) and making sure the VP has accurate information and dependable support by checking in regularly. A successful EA helps the office run smoothly, maintains a consistent presence, and handles day-to-day tasks in a calm, predictable, and thorough manner.

We are hiring an Executive Assistant to support our Vice President and assist with tasks that fall under HR, IT, Marketing, Sales, and general administration. This role requires steady work habits, attention to detail, and the ability to complete assigned tasks accurately and on time.

-----PRIMARY RESPONSIBILITIES-----

All responsibilities below are performed under the direction of the Vice President, who oversees these areas.

Executive Support
  • Provide administrative support to the VP and leadership team.

  • Assist with scheduling, documentation, and routine follow-up tasks.

HR-Related Support
  • Process weekly payroll as directed.

  • Assist with benefits administration and respond to employee inquiries.

  • Support recruiting and onboarding tasks.

  • Help coordinate employee training sessions and maintain HR documents.

IT-Related Support
  • Troubleshoot basic end-user IT issues and document problems.

  • Communicate unresolved issues to the external IT provider.

  • Assist in maintaining simple workstation and equipment procedures.

Marketing & Sales Support
  • Assist with bid submittals and upkeep of the design library.

  • Support logistics for internal and external events.

  • Prepare and organize materials for client gifts and other routine marketing tasks.

  • Assist with marketing execution steps as assigned.

Reception Coverage & Office Support
  • Provide backup coverage for the receptionist.

  • Answer phones and assist walk-in customers when needed.

  • Ensure the office and showroom remain presentable and ready for visitors.

  • Assist with client visits, vendor presentations, and small event setups.

-----SKILLS AND EXPERIENCE-----
  • Comfortable with technology and able to resolve basic IT issues.

  • Organized and consistent with task follow-through.

  • Clear communication skills and sound judgment.

  • Ability to maintain confidentiality.

  • Able to work steadily and prioritize assigned tasks.

  • Prior HR experience is preferred.

-----WORK SCHEDULE-----

Monday–Friday, 8:00 AM–5:00 PM.
In-Person at the office.  Not remote. 
Occasional evenings or weekends may be required for deadlines or events.
Consistent, reliable attendance is required.
