Job Description
Ensures the overall effective functioning of the facilities to provide an efficient and safe working environment for employees, trainees and volunteers by using best practices to manage resources, services and processes to meet the needs of the company.
This is a key position for ensuring business continuity by ensuring uninterrupted availability of properly functioning equipment and facilities required for daily operations. Establishes a culture of continuous improvement and strengthens the ability to troubleshoot programs, identify root causes and make appropriate corrective actions as necessary.
 
ESSENTIAL DUTIES & RESPONSIBILITIES:
Facilities:
•Ensures that all Lanakila Pacific facilities and worksites are properly maintained, safe, and secure; all sites are compliant with applicable laws, codes, contract requirements and professional standards.
•Tracks and maintains system to record, follow-up on and prioritize all facilities requests, tasks, projects and issues requested by staff.
•Directs and supervises staff and vendors to ensure all locations are safe, clean, and operational. Consults, researches, negotiates and monitors leases, contracts and agreements with outside suppliers, service providers and others.
•Develops standards, ensures performance of, and participates in preventative maintenance program by staff and vendors.  
•Coordinates construction and refurbishment projects ensuring that bids are properly solicited and contract work requirements are properly accomplished prior to funds being released.  Acts as owner’s representative on these projects, interfacing with architects, project managers, contractors and grantors of funds.
•Represents the Facilities department in the development, implementation and monitoring of special projects and events. 
•Plans, obtains necessary approvals and permits, and coordinates all relocations and renovations.
 
Safety:
•Responsible for the Safety Program.  Provides leadership for the Safety Committee, trains or coordinates training of staff, and ensures Lanakila Pacific’s safety policies and procedures are aligned with governmental regulations and program best practices. 
•Develop, implement, document and maintain safety policies and procedures to ensure a safe and secure work environment. Responds to, investigates and takes action on security breaches, emergencies or violations.
•Develops and maintains a comprehensive security program for each of the LP facilities and worksites including key control. Reviews security requirements, makes recommendations and upgrades systems as necessary.
•Monitors MSDS (Material Safety Data Sheets) compliance and updates information as needed.
•Recommends measures to help protect workers from potentially hazardous work methods, processes, or materials.  Manages or assists in investigations of accidents to identify causes and to determine how such accidents might be prevented in the future and ensures proper documentation of accidents and performs periodic analysis of data.
•Ensures fire and safety hazards are eliminated and that all fire suppressant equipment is maintained and inspected for proper working order. Ensures that all first aid kits and fire extinguishers are properly installed and maintained at each worksite.
•Responsible for regular safety drills, their evaluation and recommended improvements.
 
Administrative:
•Contributes to the development and implementation of strategies, policies and procedures to enhance organizational safety and effectiveness.  As part of the management team, participates in the strategic plan of the organization.
•Coordinates, monitors and directs the acquisition, allocation and use of equipment, vehicles, office furniture, supplies, office and facility space, and records storage.
•Maintains inventory of company owned vehicles and equipment and coordinates preventative maintenance, repairs, and disposal. 
•Develops, implements, and manages facilities maintenance expense and capital budgets. Controls expenditures and identifies cost savings opportunities.
•Manages staff including hiring, terminations, performance management and goal setting, and training and development in accordance with Lanakila Pacific policies and procedures.
•Ensures compliance with applicable laws, regulations, permits, standards and policies of the organization and governing bodies. 
•Coordinates any updates to the Reserve Study as needed.
•Works with the VP of Administration on tenant occupancy and leases.
•Develops professional relationships and represents Lanakila Pacific with community organizations and businesses.
•Performs other duties as required.
 
WORKING CONDITIONS:
While performing the essential duties of this job, the employee occasionally works near moving mechanical parts; in high places; and in outside weather conditions.  
 
EQUIPMENT USE:
•Computer workstation and standard office equipment.
•Tools and equipment including but not limited to power tools, wrenches, clamps, task knives, sanding equipment, flooring equipment, string and hedge trimmers, mower, and generators.
•HVAC, security, refrigerator and freezer systems.

•Technology:  proficient to intermediate skills in Microsoft office products and standard office equipment and tools to complete job requirements, submit reports, and to eliminate administrative tasks empower employees, and meet other needs of the organization.
 
 
MINIMUM QUALIFICATIONS:
•High school diploma or equivalent and five (5) years of related work experience OR Bachelor Degree and three (3) years of related experience in a managerial position
•Valid driver’s license and clean driving abstract 
•Previous experience in carpentry and/or equipment maintenance.
•Knowledge of painting, carpentry, plumbing, electrical, custodial, and grounds work.
•Must be able to read and understand mechanical and electrical blueprints
•Knowledge of safety practices related to field of work.
•Understanding of permitting process and need for use of licensed trades
•Intermediate proficiency in MS Office programs
•Must be able to obtain a gate pass to access military installations.
