Job Description



Hawai‘i Center for AIDS. Regular, Full-Time, Limited Term (not to exceed eight (8) months in duration), RCUH Non-Civil Service position with the Hawai‘i Center for AIDS (HICFA), located in Honolulu, Hawai‘i. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws.





·         Provides support with Human Resource functions such as project administration and personnel management (e.g., facilitating recruitments, submitting Personnel Action Forms, and corresponding with the Research Corporation of the University of Hawai‘i (RCUH)).

·         Assists with daily functions of the program such as mail/delivery retrieval and organizing office supplies/equipment.

·         Provides support in grant and contract management (e.g., tracking deadlines, inputting data into the myGRANT system and National Institutes for Health (NIH) Assist, and editing contracts).

·         Assists with procurement functions ensuring all purchases are in compliance with Federal, State, UH, and RCUH guidelines and procedures and within the guidelines of the various foreign governmental entities.

·         Assists in the preparation of fiscal reports and budgets.

·         Reviews and prepares travel requests, travel completions, and travel reimbursements.





·         Associate’s Degree from an accredited community college (48 college credit hours plus one (1) year of office or business experience in a professional environment may substitute for an Associate’s Degree).



·         At least one (1) year of organizational, administrative, or office experience, preferably in a research, medical, scientific, educational, or equivalent professional environment.



·         Strong working knowledge of computer programs including Microsoft Word, Excel, and Adobe PDF.

·         Ability to construct advanced Excel spreadsheets using formulas, filters, and macros.

·         Excellent verbal and written communication skills.

·         Ability to edit documents for grammatical correctness.

·         Must possess excellent interpersonal, organizational, problem-solving, and math skills.

·         Ability to work independently and exhibit sound judgement and analysis.

·         Must be respectful to varying viewpoints, detail-oriented, creative, highly flexible in problem solving, and able to multi-task under multiple deadlines in a fast-paced environment.

·         Must be able to prioritize workload and work flexible hours, including nights and evenings, as required.

·         Post Offer/Employment Condition: Must be able to pass a post offer criminal background check.



·         Ability to lift and carry up to fifteen (15) pounds unassisted.

·         Bachelor’s Degree from an accredited four (4) year college or university.

·         Two (2) or more years of experience working in a clinical research program or administrative environment.

·         Knowledge of UH, RCUH, or State of Hawai‘i policies and procedures.
