Job Description

Lanakila Pacific is a 501(c)3 non-profit that helps empower people with challenged lives.  As the manager of our most valuable resources, our employees; the Human Resources team champions the well-being of Lanakila Pacific staff.  From recruitment, safety, employee relations, compensation and benefits, compliance and training and development, our team works to keep Lanakila Pacific a happy and healthy workplace for all employees.  Performs administrative, personnel and data processing functions, maintains personnel filing system, and front desk coverage as needed, and other support duties assigned by Human Resources personnel.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  1. Responsible for assisting HR Coordinators for Recruitment and Benefits in the timely execution of every step in the employment lifecycle with within the guidelines of employment labor laws; including:

    1. Screens online applications for suitability for skills, experience and knowledge in relation to position requirements,

    2. Conducts preliminary interviews and schedules interviews for hiring manager,

    3. At post-conditional offer stage of process, performs reference and background checks,

    4. Inputs and maintains all applicant, employment and benefits information in the ADP system and HR internal tracking system,

  2. Manages and coordinates all communication with candidates and managers

  3. Follows up on any discrepancies through the employment process with applicants and managers.

  4. Onboards all new hires and ensures all proper employment documentation is completed and collected.

  5. Prepares Welcome Packets and ensures all new hires are set up with ID badge, login information for clocking in and out.

  6. Establishes and maintains good working relationships with hiring managers.

  7. Provides complete, accurate and inspiring information to applicants about the company and positions.

  8. Follows up with new hires to see how they are doing in an effort to promote employee retention.

  9. Accurately Inputs data into ADP, maintains filing system, recording records and pertinent confidential information.

  10. Performs administrative support to the Human Resources Department answering phones, email correspondence and follow up, coordinating meetings and functions along with other administrative duties.

Files pertinent employment documents and credentials including I-9 forms, EE verification, background checks, TB certificates, driver abstracts, etc.

Tracks expiration date of credentials such as driver license, forklift certification, First Aide, CPR and TB and notify employees, their supervisor and HR Benefits Coordinator.

 

 

OTHER DUTIES:

  1. Ensures confidentiality of records. Does not disclose information except when following the guidelines stipulated by Lanakila Pacific’s policies and procedures.
  2. Participates in maintaining a safe and healthy working environment.
  3. Responsible for all assigned materials, supplies, and equipment.
  4. Attends training sessions as mandated by organizational policy and or as recommended by management
  5. Performs all other duties as assigned
  6. Support and participate in the safeguard, security, and confidentiality of all data, records, company properties, program participants and personnel.

 

 

 

 

WORKING HOURS:

 

Full time hours; generally Monday – Friday, 8 hours a day with.  May be required to work outside of normal business hours on occasion.

 

 

 

EQUIPMENT USE:

 

  1. Computer proficiency in word, excel, database or other comparable programs.

  2. Other standard office equipment such as computer, laptop, copy machine, printer, fax machine, etc.

 

 

 

 

MINIMUM QUALIFICATION REQUIREMENTS:

 

Education/Experience:

 

Bachelor’s degree or 3 years’ experience in Human Resource.

 

 

Skills/Knowledge/Ability:

 

  1. Demonstrate the ability to communicate grammatically correct in oral and written form.

  2. Demonstrate an Intermediate level proficiency in office software applications such as Microsoft Office and/or similar applications.

  3. Ability to exhibit proper phone etiquette and customer service skill

  4. Demonstrate organization skills with file management, data entry, and record keeping.

  5. Demonstrate ability to work with persons with diverse backgrounds
