Job Description

 Under the general direction of the Manager of Human Resources the Human Resources & Accounting Coordinator position manages and executes administrative duties for the respective departments. Under limited supervision, coordinates, oversees, and/or performs a wide variety of administrative, fiscal, and program support activities.

 

Duties and Responsibilities

  • Create and submit Credit Card logs/invoices/check requests for the Human Resources Department.
  • Coordinates pre-recruitment processes including posting jobs, advertising available positions, running background checks, of paid and unpaid staff, including intern and volunteer positions to ensure that federal compliance standards are met.
  • Assist the Manager of Human Resources with employee pension and 401K administrative functions including, but not limited to periodic audits, filing and maintenance of paper/electronic files.
  • Maintains internal Intranet as well as the HR and Volunteer sections of the Bishop Museum public website, ensuring information and documents are accurate and up-to-date.
  • Coordinates volunteer coverage for museum events as requested by other departments.
  • Maintains volunteer database including running reports of volunteer activity, contacting inactive volunteers, conducting new volunteer orientations, and communicating with department supervisors to maintain accurate record.
  • Assist the Manager of Human Resources with annual open enrollment and general benefits administration.
  • Develop and prepare standard communications, including but not limited to recruitment emails, policy memos, invitations, and acknowledgment letters.
  • Schedule training programs and supplemental programs/courses for staff and volunteers.
  • Assist the Manager of Human Resources with the implementation and tracking of employee performance evaluations.
  • Assists with event planning for Human Resources to include: staff anniversary function, staff holiday party, volunteer appreciation party, and other events or functions as designated.
  • Evaluates and facilitates projects that boost staff moral (including birthday cards, Back of House tours, snack pantry, etc.).
  • Responsible for general filing, compiling and updating employee records (hard and soft copies) adhering to Department of Labor compliance requirements.
  • Assists staff with requests and inquiries in a timely and courteous manner.
  • Performs other related duties as required and assigned.

Qualifications

  • Bachelor’s degree or equivalent.

  • At least one year experience in Human Resources.

  • Familiarity with HRIS and ATS resume database software.

  • Strong verbal and written communication skills.

  • Event planning and coordination experience.

  • Ability to manage multiple project through to completion in accordance with deadlines.

  • Proficient in Microsoft Word, Excel, and PowerPoint.

  • Ability to type a minimum of 40 WPM

  • Basic knowledge of employment and labor laws

  • Ability to work as part of a team to accomplish departmental and institutional goals.

  • Knowledge and interest in Hawai‘i’s culture, environment, and community.

  • Valid Driver’s License

  • Flexibility in working hours, as some evening and weekend work is required.

  • Must have own car with proof of insurance.
