Job Description


Under the general direction of the Controller, Director of Sales and Manager of Human Resources the Human Resources and Sales Assistant position manages and executes administrative duties for the respective departments. Under limited supervision, coordinates, oversees, and/or performs a wide variety of administrative, fiscal, and program support activities.



Duties and Responsibilities


  • Assist the accounting and sales department with FareHarbor invoicing, including general clean-up of existing system, monthly billing, reconciliation and maintenance.
  • Review and verify bookings/payments in Veltra & Vaitor systems
  • Create and maintain Facility Rental deposits, refunds, and check requests for the sales department.
  • Create and submit Credit Card logs for HR and Sales department.
  • Coordinates pre-recruitment processes including posting jobs, advertising available positions, and running background checks, of paid and unpaid staff, including intern and volunteer positions.
  • Maintains Intranet as well as HR sections of the Bishop Museum public website, ensuring information and documents are accurate and up-to-date.
  • Coordinates volunteer coverage for museum events as requested by other departments.
  • Maintains volunteer database including running reports of volunteer activity, contacting inactive volunteers, and communicating with department supervisors to maintain accurate record.
  • Develop and prepare standard communications, including but not limited to recruitment emails, policy memos, invitations, and acknowledgment letters.
  • Assists with event planning for Human Resources to include: staff anniversary function, staff holiday party, volunteer appreciation party, and other events or functions as designated.
  • Evaluates and facilitates projects that boost staff moral (including birthday cards, Back of House tours, snack pantry, etc.).
  • Assists staff with requests and inquiries in a timely and courteous manner.
  • Performs other related duties as required and assigned.




  • Bachelors degree or equivalent.

  • At least one year experience in Accounting and Human Resources or; 2 years administrative experience

  • Strong verbal and written communication skills.

  • Event planning and coordination experience.

  • Ability to manage multiple project through to completion in accordance with deadlines.

  • Proficient in Microsoft Word, Excel, and Powerpoint.

  • Ability to work as part of a team to accomplish departmental and institutional goals.

  • Knowledge and interest in Hawai‘i’s culture, environment, and community.

  • Flexibility in working hours, as some evening and weekend work is required.

  • Must have own car with proof of insurance.

  • Detail oriented.
