Established and busy medium-sized divorce and family law firm in downtown Honolulu has an immediate opening for a newly-created Office Manager position.  Our new Office Manager will oversee and manage the day-to-day operations of our Firm.  This person will work closely with the Firm’s Owner to support the Firm’s personnel and administrative needs, and will ensure that the Owner’s expectations for employee productivity and job performance are met or exceeded.  The Office Manager will create and maintain a pleasant, relaxed and collaborative work environment, based on mutual respect and Aloha, while ensuring expected levels of organizational effectiveness, communication and safety.

 

Duties include:

  • General office administrative responsibilities, including development and implementation of office policies and procedures; measure results against standards, and make necessary adjustments.
  • Assign, direct, and evaluate work among staff to ensure that clients’ needs are met, work is distributed equitably, billing and performance standards are met, and office objectives are maintained.
  • Plan, implement and monitor workflow, ensuring client satisfaction and employee accountability and responsibility for assigned tasks.
  • Evaluate and improve internal operations, including processing and handling of court and client documents, with the goal of increasing efficiency, effectiveness and accountability.
  • Consistently promote a positive work environment that is relaxed and collaborative, respectful and professional, while meeting or exceeding the Owner’s performance and productivity expectations.
  • Ensure staff provide and promote a caring, compassionate and empathetic environment for, and attitude toward, the Firm’s clients.
  • Liaison between Owner and employees.
  • Meet or exceed the Owner’s expectations for employee job performance and productivity through coaching, counseling and guiding employees, and monitoring and evaluating employee job performance.
  • Performance evaluations, employee relations, motivation, counseling, disciplining, discharging, resource allocation and other human resource management functions.
  • On-site management of HR issues, supported by the Firm’s HR services provider, Pro Service Hawaii.
  • Monitor and troubleshoot workflow and problem solve staff issues.
  • Manage orientation for all new office employees.
  • Coordinate with vendors to maintain or improve office systems, including IT, internet, phones, photocopiers, software and other key vendors.
  • Manage the Firm’s ongoing transition to paperless business operations.
  • Manage the planning and execution of Firm business and social events.
  • Ensure that office and building conditions are safe and comfortable for employees and clients.
  • Oversee the management of office supplies and assets.
  • Other duties as assigned.

Competencies, Knowledge, Skills, and Abilities

  • Prior office management experience, ideally in a law firm.
  • Strong management, interpersonal, organizational, prioritization and communication skills.
  • Highly organized, detail-oriented, problem solver/analytical, flexible, and self-motivated.
  • Detail-oriented and able to work under pressure to meet deadlines.
  • Consistently act in a proactive, flexible and enthusiastic manner to create a pleasant, efficient and productive work environment.

Starting salary is from $50,000 to $60,000 and is commensurate with experience.  Benefits include health insurance, paid time off, participation in the Firm’s Roth 401(k) retirement account with employer contributions, paid parking and professional development opportunities.
