Job Description
POSITION SUMMARY

The Operations Specialist plays a key role in ensuring the smooth day-to-day functioning of EPIC 'Ohana. This position provides in-person office operations support, basic IT assistance, event coordination, and high-level administrative support to the Executive Director. This position will also closely support EPIC’s Director of Finance and Operations and Director of Strategy & Innovation.


The Specialist must demonstrate an active commitment to EPIC 'Ohana’s Mission, Vision, and Values and incorporate them in all aspects of daily work.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Operations Support

  • Provide in-person support for daily office operations, ensuring a well-functioning and organized workspace.
  • Serve as a point of contact for office vendor relationships.
  • Support office safety and security, coordinating with building management.
  • Support day-to-day operational projects and process improvements.
  • Participate in team cross-training to ensure seamless workflow and coverage when colleagues are out of the office.

Executive Director and Board Support

  • Provide support to the Executive Director, including, grants management, assistance with reports, and tracking priorities, as needed
  • Assist with preparation of board and committee materials, maintain governance documentation, and help track board decisions and follow-up actions.
  • Support special projects and initiatives led by the Executive Director

 

IT Support

  • Provide basic, in-person IT support for staff (e.g., troubleshooting common issues and assisting with in-person distribution, collection, and tracking of EPIC equipment).
  • Provide onboarding and refresher support for technology, as needed.
  • Respond to routine technology questions and provide timely assistance.

Event Coordination

  • Coordinate logistics for internal and external events as needed with guidance from Executive Director
  • As needed, manage event timelines, materials, vendor coordination and day-of execution
  • As needed, support setup, breakdown, and on-site coordination for events
  • Track event details, attendance, and post-event follow-ups

OTHER DUTIES/FUNCTIONS

  • Perform other related duties, as assigned.
  • Regular attendance, required.
  • Participate in trainings, staff meetings, and supervision, as scheduled.
  • Recommend improvements to job processes and work environment to ensure quality service.
  • Responsible for awareness and adherence to all company and safety policies and procedures.

MINIMUM QUALIFICATION REQUIREMENTS

  • Must have a Bachelor’s degree in a related field from an accredited institution of higher learning; and
  • A minimum of one (1) to two (2) years related experience and/or training; or equivalent combination of education and experience
  • Strong computer proficiency, including Microsoft Office
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong interpersonal and communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Excellent interpersonal, organizational, and project management skills.
  • Ability to balance multiple priorities in a fast-paced environment.

PREFERRED QUALIFICATIONS

  • Experience in a nonprofit setting, strongly preferred.
  • Experience working with data, including tracking, reporting , or basic analysis preferred.

Pay: 

  • $43,000 to $53,000 per year, commensurate with experience
  • Position is exempt (not overtime eligible)
