MEDICAL & RESEARCH CLINIC ADMINISTRATIVE ASSISTANT – ID# 222650.

Regular, Full-Time, RCUH Non-Civil Service position with the Department of Psychology, Center for Cognitive Behavior Therapy (CCBT), OnTrack Hawai‘i Program, located in Honolulu, Hawai‘i. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MINIMUM MONTHLY SALARY:  $2,767/Mon. 

 

DUTIES:  Ensures that the medical and research clinic functions as a medically appropriate and safe facility. Under the direction of the Clinical Leads, provides basic mental health and physical health care tasks (e.g., takes and records vital signs, coordinate prescription and lab orders, request and provide medical records as appropriate).  Manages day-to-day operations of the medical and research clinic. Greets and checks-in participants and family. Answers and triages phone calls, takes messages, schedules appointments, and coordinates team members’ daily calendars. Opens and closes the clinic and ensures a safe and clean environment for staff and participants. Oversees overall maintenance of the office, including managing/scheduling vendors for repairs. Tracks OnTrack staff sick and vacation leave. Organizes and keeps clinic paperwork up to date in an electronic format. Prints, faxes and emails documents securely. Receives and posts mail and packages. Updates and maintains the OnTrack website and other OnTrack promotional materials (e.g., brochures, handouts). Tracks program budget, expenditures, and purchases. Assists to develop and implement clinic policies and procedures. Orients staff in system operations and business practice, including Health Insurance Portability and Accountability Act (HIPAA). Takes notes in team meetings and communicates important information to clinic staff.  Serves as reporting liaison between clinic, stakeholders, and referral sources. 

 

PRIMARY QUALIFICATIONS:

EDUCATION/TRAINING

High School Diploma or G.E.D. equivalent.

EXPERIENCE

One to three (1-3) years of experience with administrative or clerical work.

KNOWLEDGE

Knowledge of maintaining strict confidence of patient Protected Health Information (PHI) and protecting from accidental, intentional or inappropriate disclosures. Demonstrates knowledge of office policies and procedures, operates various kinds of office equipment and technologies.

ABILITIES & SKILLS

Good time management and organization skills. Proficiency with computer skills, including Microsoft Office Suite and Zoom.  Ability to work independently as well as be part of the team. Post Offer/Employment Condition: Must be able to pass a post offer criminal background check. Must possess Certification in First Aid/CPR (or be able to obtain the certificate following the training provided within twelve (12) months from date of hire) and maintain throughout duration of employment.

POLICY/REGULATORY REQUIREMENT

As a condition of employment, employee will be subject to all applicable RCUH policies and procedures and, as applicable, subject to the University of Hawai‘i's Department of Psychology Center for Cognitive Behavior HIPAA/PHI privacy and security policy and the State of Hawai‘i Child and Adolescent Mental Health Division (CAMHD) HIPAA/PHI privacy and security policy. Violation of the RCUH's, the UH's, or the business entity's policies and/or procedures or applicable State or Federal laws and/or regulations may lead to disciplinary action (including, but not limited to possible termination of employment, personal fines, civil and/or criminal penalties, etc.). Must complete the University of Hawai‘i's Department of Psychology Center for Cognitive Behavior HIPAA/PHI privacy and security training and the State of Hawai‘i Child and Adolescent Mental Health Division (CAMHD) HIPAA/PHI privacy and security training immediately after hire or not later than employee’s initial exposure to HIPAA/PHI. Must maintain a current status on the University’s and/or the business entity's training requirements.  

 

SECONDARY QUALIFICATIONS:    

Associate’s Degree from an accredited community college or certification in Behavioral/Psychiatric Health, Nursing, Medical Assisting, or related field. One (1) year of experience in nursing, medical assisting, or related field preferred.  Ability to accurately take and record blood pressure, heart rate, weight, and height. Ability to administer intramuscular long-term injections. Experience in healthcare management or provision of health care services (e.g., experience with quality assurance, health care coordination, billing, clinical experience working with mental health).
