MHPCC PROGRAM MANAGEMENT OFFICE EXECUTIVE ADMINISTRATOR – ID# 226335.

Regular, Full-Time, RCUH Non-Civil Service position with the Maui High Performance Computing Center (MHPCC), Department of Defense High Performance Computing Modernization Program’s “Maui High Performance Computing Center”, located at the Maui Research and Technology Park (MRTP) in Maui, Hawai‘i. This position will conduct research under the University of Hawai‘i Maui Support for Technical and Research Services (MSTARS) contract. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MONTHLY SALARY RANGE:  $5,500 - $8,500/Mon. 

 

DUTIES:  Manages and coordinates the schedules for the MHPCC Executive Director and Directors. Budgets and coordinates travel arrangements. Works with the MHPCC Executive Director and Directors to ensure that deliverables and action items are completed in a timely manner. When designated by the MHPCC Executive Director, may serve as "Administrator-in-Charge" for administrative related items during the absence of the MHPCC Executive Director and Directors. Provides executive and program management administrative support to the MHPCC Executive Director and MSTARS Program Manager. Assists in the coordination, tracking, preparation, and management of contract deliverables, program schedules, action items, risks, meetings, financial reporting activities, and administrative operations supporting Department of Defense contracts and programs. Provides administrative assistance, such as writing and editing e-mails, drafting memos, and prepares communications on behalf of the MHPCC Executive Director and Directors. Reviews materials, reports, and other communications relating to general administrative matters. Responsible for Directors’ events and scheduling logistics, which includes but is not limited to ensuring all required equipment, supplies, transportation, presentation materials, and attendees arrive to and from the event. Responsible for recording meeting minutes and filing accordingly.Answers and responds to phone calls, communicates messages and information to the Directors. Monitors the current electronic filing and database system and look for ways to improve current systems.  Oversees the Administrative Support Assistant and student assistant. 

 

PRIMARY QUALIFICATIONS:

 

EDUCATION

Bachelor's Degree from an accredited four (4) yearcollege or university in public or business administration, economics, political science, or a related field. (Associate’s Degree from an accredited community college and two (2) years of experience or High School Diploma or G.E.D. equivalent and three to four (3-4) years of related administrative work experience sufficient to provide skills, perform job duties may substitute for a Bachelor’s Degree.).

EXPERIENCE

Three to five (3-5)yearsofresponsible administrative experience in a business organization or government agency.

KNOWLEDGE

Knowledge of principles and practices of public administration; principles and practices of public relations; principles and techniques in writing informational material; techniques used in preparing and editing copy for printing.

ABILITIES & SKILLS

Must be a U.S. Citizen, a requirement of the Government security investigation to meet eligibility requirements for access to classified information. Ability to handle multiple tasks and haveexcellent organizational skills.Ability to grasp complex issues quickly andachieve solutions to complex problems in context of institutionalpolicies and procedures.Ability to utilize personal computer andMicrosoftOffice. Abilitytoworkeffectivelywithdiversegroupsofpeople. Ability to effectively conduct work remotely (e.g., telework) as applicable. PostOffer/EmploymentCondition:Must be able to obtain and maintain a security clearance based on a tier-3 background investigation to access classified information. Must be able to complete the UH Information Security Awareness Training (ISAT) within two (2) weeks from date of hire, and re-certify every twelve (12) months. 

PHYSICAL/MEDICAL DEMANDS

Ability to lift and carry up to thirty (30) pounds unassisted from ground level while in a standing position. Ability to perform repetitive keyboard entry for twenty to forty (20-40) hours per week. Ability tolistenandspeakclearlyonallcommunicationsdevices.

POLICY/REGULATORY REQUIREMENT

SECONDARY QUALIFICATIONS:    

 

Experience supporting DoD, federal, or government-funded programs. Experience with project scheduling tools. Experience maintaining Integrated Master Schedules. Experience preparing reports and briefing materials for executive leadership. Experience with SharePoint, Microsoft Lists, Teams, Planner, and Power BI. Familiarity with CDRLs, contract deliverables, and program management processes. Experience supporting security-cleared environments. KnowledgeofUHandRCUHpoliciesandprocedures.
