Job Description

OFFICE/BOOKKEEPER ASSISTANT – ID# 221145.​ 

 

John A. Burns School of Medicine.  Regular, Full-Time, RCUH Non-Civil Service position with the John A. Burns School of Medicine (JABSOM), Department of Psychiatry, located in Honolulu, Hawai‘i. Telework is permissible with Principal Investigator’s approval. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MONTHLY SALARY:  Salary commensurate with qualifications. 

 

DUTIES:  Performs routine accounts payable functions and submits purchase orders (PO) into University of Hawai‘i (UH) Kuali and Research Corporation of the University of Hawai‘i (RCUH) financial portal systems for orders placed by project staff. Reviews all vendor files and staff reimbursements on a weekly basis and processes payment requests in a timely manner. Resolves accounts payable disputes. Processes and tracks all travel-related documentation in eTravel and RCUH. Obtains, files, and maintains current expense reports, utility bills, and payroll expense distribution reports in a timely manner. Compiles monthly reports from UH Kuali, Jasper, and RCUH financial portal. Prepares Report of Expenses and confirms distribution of study funds. Transfers fiscal data to internal reporting instrument. Updates expenditure projection reports on a monthly basis. Collaborates with project staff for tracking project milestones on a monthly basis. Process semi-monthly payroll. Prepares pre-award request forms to meet start-up deadlines using myGrant. Prepares fiscal year-end close-out forms to meet internal and external deadlines. Establishes documentation for sub-contracts and service agreements associated with project. Maintain an organized research, evaluation, and needs assessment office on behalf of project faculty, staff, and students.Sets up and runs meetings with staff, program managers and principle investigators. May work some evenings and weekends. Currently, staff are working from home and will be subject to being recalled to return to the office at a later date. 

 

PRIMARY QUALIFICATIONS: EDUCATION/TRAINING:  Associate’s Degree from an accredited community college in Accounting, Finance, or Business. (High School Diploma or G.E.D. equivalent and at least three (3) years of experience in an accounting, bookkeeping, or payroll position may substitute for an Associate’s Degree).  EXPERIENCE:  One to three (1-3) years of accounting/financial, bookkeeping, or purchasing experience.  ABIL/KNOW/SKILLS:  Strong knowledge of computer fundamentals including use of software programs such as Microsoft Word, Excel, and PowerPoint.  Basic knowledge of office equipment. High proficiency and knowledge of spreadsheet applications. Knowledge and sensitivity to substance use issues and multi-cultural environments. Ability to understand and build complex spreadsheets and reports. Ability to extract data from mainframe and database files and export into Excel for analysis. Must be able to attend meetings in person and via tele/videoconferencing on a timely basis. Excellent communication skills, both orally and in writing. Demonstrated ability to handle interacting with multiple people, tasks, and frequent deadlines. Post Offer/Employment Condition: Must be able to pass a post offer criminal background check.  PHYSICAL/MEDICAL REQUIREMENTS:  Ability to lift and carry up to twenty (20) pounds. SECONDARY QUALIFICATIONS:  Bachelor’s Degree from an accredited four (4) year college or university in Accounting, Finance, or Business. Experience executing payroll and travel documentation. Experience working within the RCUH or UH fiscal system. Familiarity with extramural research funding mechanisms. Proficient knowledge in computer technology.
