Help Keep HFA Welcoming, Organized, and Moving Forward

At Hawaii Foodservice Alliance (HFA), every role plays a part in supporting the people and operations that help feed Hawaiʻi. As our Office Assistant, you’ll help create a welcoming first impression while keeping the day-to-day details of our office running smoothly.

You’ll be one of the first people our visitors, candidates, vendors, and team members interact with while also providing administrative support across HFA. We’re looking for someone who takes pride in being dependable, organized, helpful, and someone others can confidently count on.

What You’ll Do

  • Greet and welcome visitors and clients, creating a positive and professional first impression
  • Manage front desk operations and maintain a clean and organized reception area
  • Perform clerical duties including filing, answering phone calls, responding to emails, and preparing documents
  • Handle incoming and outgoing mail and packages
  • Prepare and distribute correspondence, memos, letters, forms, and other documents
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain organized filing systems
  • Help update and maintain office policies and procedures
  • Order and maintain office supplies
  • Coordinate travel arrangements as needed
  • Serve as a point of contact for internal and external clients
  • Support senior managers and various departments with requests and administrative needs
  • Perform occasional off-site tasks as needed

What We’re Looking For

  • 1–2 years of office, administrative, reception, or customer service experience preferred
  • Friendly, professional, and welcoming communication style
  • Strong organization, time-management, and attention to detail
  • Dependable with strong follow-through and a sense of accountability
  • Demonstrates good judgment and takes ownership of responsibilities
  • Handles company resources and responsibilities with care and professionalism
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable working independently while also being part of a collaborative team
  • Positive, respectful, and willing to help where needed
  • Strong verbal and written communication skills
  • Working knowledge of Microsoft Office, including Outlook, Word, and Excel
  • Valid driver’s license and reliable transportation
  • Ability to be flexible with scheduling based on business needs
