Operations Administrative Assistant

Honolulu, HI | Full-Time | Non-Exempt

We’re seeking a detail-oriented and organized Administrative Assistant to support our operations and help ensure our team can deliver high-quality, survivor-centered services.

About the Role:

As our Administrative Assistant, you’ll support the day-to-day operations of the agency by maintaining internal systems, coordinating logistics, and ensuring smooth office functioning. You’ll work closely with the Operations team and provide support across departments including HR, Facilities, Grants, and Accounting. This role is essential in keeping our organization running efficiently so program staff can focus on supporting survivors across Hawaiʻi.

Key Responsibilities:

  • Provide administrative support to the Director of Operations and Operations team
  • Manage calendars, meetings, and the organization’s master calendar
  • Coordinate meeting logistics, prepare materials, and track follow-ups
  • Serve as a liaison between departments for operational needs
  • Maintain organized electronic and physical filing systems
  • Provide rotating front desk coverage (greet visitors, answer phones, direct inquiries)
  • Support onboarding logistics for new staff and workspace coordination
  • Assist with office operations including supplies, equipment, and vendor coordination
  • Track maintenance requests and follow up with vendors
  • Maintain internal tracking systems (inventory, parking, workspace, etc.) • Assist with data entry, validation, and routine audits
  • Support grant reporting by organizing data and tracking deadlines
  • Assist with invoices, reimbursements, and expense documentation
  • Perform time-sensitive errands and occasional off-site travel as needed
  • Attend Operations, Administrative Support Team, and All Staff meetings and participate in trainings

 

Minimum Qualifications:

  • High school diploma required; associate degree or higher preferred
  • Minimum of 2 years of administrative or accounting experience
  • Strong organizational skills and ability to manage multiple priorities
  • Proficiency in Microsoft 365 and Google Workspace
  • Excellent written and verbal communication skills
  • Ability to maintain professionalism, discretion, and attention to detail
  • Valid driver’s license, clean driving record, and reliable transportation
  • Ability to lift and carry up to 50 pounds
