                                                                    OPERATIONS SPECIALIST

                                                                     POSITION DESCRIPTION


Kupu, which means “to sprout” or “to grow” in Hawaiian, has a two-fold mission: to preserve the land while empowering youth. The organization provides hands-on training in conservation, sustainability, and environmental education for young adults, with the goal of fostering our next generation of environmental and cultural stewards. Kupu’s work has been likened to the role of the kupukupu fern, which is one of the first plants to cultivate the land after a lava flow. The fern not only serves as a foundational species for rebuilding a healthy, native ecosystem, but it also symbolizes a place where knowledge can grow.


Established in 2007 as a Honolulu-based 501(c)3 non-profit, Kupu affirms the Hawaiian notion of “ma ka hana ka ike” or “in working one learns.” This approach has led to the creation of hundreds of internships and service-learning opportunities which blend vocational training and green leadership development to support more than 100 partner sites across Hawaii and the Pacific region

Position Summary

Under the supervision of the Chief Operating Officer, the Operations Specialist will work throughout the organization to assist with a wide range of projects, tasks, and duties in support of Kupu’s goals and objectives. The scope of support varies from clerical and administrative tasks to complex and nuanced projects. As the position entails support over a broad spectrum of focuses throughout the organization, the Operation Specialist requires strong problem solving skills and comfort working with ambiguity. The Operations Specialist may also work with sensitive information and must use their discretion to maintain a high level of confidentiality and integrity. The Operations Specialist will collaborate with both internal and external stakeholders at all levels of the organization. Independent judgement is required to plan, prioritize and organize a diverse workload.

Position Duties

Primary duties for the Operations Assistant position include, but is not limited to, the following:


Operational Support

  • Assists the COO in supporting, planning, and coordinating a broad range of operational activities
  • Serves as a point of contact for teams to ensure projects remain in synergy and on task
  • Communicates with the COO and leadership team to keep projects aligned with desired goals
  • Provides project updates to various stakeholders
  • Assists with research as needed by the COO and relevant teams (i.e. vendors, initiatives, legislation, etc.)
  • Serves as the liaison between the COO/Operations team and organization for specific projects, functions, and duties as needed
  • Assists COO with follow up with partners and Kupu Team Members

Administrative Support

  • Supports administrative duties and functions as needed (i.e. expense reporting, financial processing, etc.)
  • Develops content as needed (i.e. presentations, communications, material, etc.)
  • Takes, distributes, and compiles meeting minutes as needed
  • Edits and formats outgoing documents as needed
  • Establishes and organizes regularly scheduled meetings
  • Supports Operations needs relating to Board of Directors requirements as needed
  • Assembles relevant reports  and documents throughout the organization as needed

 Other areas of support as needed


Position Requirements

Candidates must meet the requirements below in order to be considered for the position:

  • Available to work full-time, Mondays through Fridays with occasional weekends as needed
  • Must meet Criminal History Background Requirements applicable to the central job duties of the position
  • Bachelor’s Degree
  • 2-5 years of  project or program management experience
  • Must possess strong problem solving skills and have a comfort supporting a diverse range of areas throughout operations
  • Must be comfortable with a high level of ambiguity
  • Strong multi-tasking and organizational skills; ability to plan, prioritize and organize a diverse workload
  • Strong individual drive and follow through
  • Strong verbal and written communication skills
  • Strong ability to build and maintain healthy internal and external relationshipsProficiency in MS Office (Excel, Word, Office, PowerPoint, Canva etc.) and google suite


Preferred Qualifications

It is preferred that the applicant has the following:

  • Possess a valid driver’s license and meet Kupu’s driving abstract requirements
  • Experience working in a non-profit setting preferred
  • Knowledge of Project Management practices and principles
