Job Summary
We are seeking an entry-level Administrator to support day-to-day operations of our Science & Technology (S&T) programs and serve as the face of the office in a receptionist capacity. This role is well-suited for candidates pursuing or having completed undergraduate studies in STEM related areas, or with equivalent administrative experience. This position provides hands-on experience in administrative coordination and front desk functions, reporting directly to the COO.
Essential Duties/Responsibilities
- Front Desk Reception: Serve as the first point of contact by greeting visitors, receiving deliveries, directing visitors, and issuing visitor badges. Maintain a welcoming, professional reception area.
- Meeting & Calendar Coordination: Schedule and coordinate meetings, update calendars, send reminders, prepare rooms, coordinate AV/setup, and distribute meeting agendas.
- Document & File Management: Organize, version control, and archive physical and digital documents such as contracts, briefings, reports, and meeting notes in shared storage (Google Drive or SharePoint).
- Internal Communications & Correspondence: Draft and distribute internal memos, staff notices, and meeting summaries under the guidance of the COO; track key emails and escalate urgent messages appropriately.
- Program Support & Action Tracker Updates: Maintain project tracking spreadsheets; monitor status of action items and deliverables; gather inputs for monthly or quarterly S&T program status reports.
- Vendor & Visitor Logistics: Coordinate external visitor access, vendor deliveries, and partner meetings; ensure conference rooms are prepared and supplies/materials are ready.
- Office Supplies & Procurement Coordination: Monitor supply inventory (e.g., office and breakroom supplies), submit requests, track vendor orders, and assist in invoice processing or reimbursements.
- Administrative Research & Data Entry: Perform light research tasks (e.g., literature, vendor information), data entry, and assist with ad hoc requests to support program operations.
Education:High school diploma or GED required. Associate or bachelor's degree (completed or in progress) in business, communications, information sciences, STEM, public policy, or related field preferred; equivalent administrative experience considered.
- Excellent interpersonal and organizational skills, with a professional and courteous demeanor.
- Proficient in Microsoft Office (Outlook, Word, Excel).
- Strong communication skills, oral and written—and ability to multitask.
- Interest in operational support for science & technology focused work environments
Other information
- Flexible part-time schedule, ideal for students, early career professionals, or individuals with relevant administrative experience seeking practical exposure.
- Maximum 18 hours a week. Weekday coverage preferred, occasional weekends
- $16-$20 per hour depending on experience.
