Program Manager

POSITION DESCRIPTION

 

Established in 2007 as a 501(c)3 non-profit, Kupu empowers future generations to create a more sustainable, pono Hawai‘i.  Kupu accomplishes this by partnering with conservation and sustainability focused agencies throughout the state and pacific in providing hands-on service opportunities which educate and mentor young adults and emerging professionals to become stewards of our communities and environment.  Since 2007, Kupu has risen to meet the increasing demands of the green job sector by engaging over 3,000 youth in the areas of conservation, sustainability and environmental education.  Kupu affirms the Hawaiian notion of “ma ka hana ka ike” or “in working one learns.”  This approach has led to the creation of hundreds of service-learning opportunities which assists in the development of Hawai’i’s emerging professionals in the green job sector while supporting over 150 conservation and sustainability organizations across Hawaii and the Pacific region.

Program/Depar​tment Goals

Kupu aims to provide opportunities which engage emerging professionals in the conservation and sustainability fields and build skills which will assist in personal and professional development.  Kupu is able to offer these opportunities through partnerships with conservation and sustainability-focused organizations throughout the state of Hawai’i and throughout the Pacific.  Kupu’s programs offer valuable experience-building opportunities for program participants while providing additional support to Hawai’i’s conservation and sustainability efforts. 

 

Hawaii Youth Conservation Corps (HYCC) Summer Program Goals

  • Provide training and education to Hawaii’s youth
  • Help to expose youth to conservation issues and develop an environmental mindset
  • Assist community development through skills training, job and internship placement, civic engagement, and career pathway development

 

Position Overview

The Program Manager plays a critical role in ensuring the successful execution of all facets of Kupu programs, including but not limited to financial oversight, grants and contract management, partner development and maintenance, and compliance.  The Program Manager also supervises and empowers Program Coordinators to fulfill the requirements and objectives of Kupu’s programs.

Position Duties

Primary duties for the Program Manager position includes, but is not limited to, the following:

 

Program Development

  • Support Operations Manager in the review of grants, contracts, agreements, and other matters
  • Assist with research, writing, and preparation of proposals, grants, and other funding opportunities
  • Manage or assist with management of specific grants awarded to this program including but not limited to program implementation, budgets and reporting
  • Develop and manage program budget and review monthly financial reports
  • Cultivate new partnerships, maintain healthy partnerships, and improve unhealthy ones
  • Collaborate with the Operations Manager to plan successfully for growth
  • Collaborate with the Operations Manager and other staff on researching, developing, and possibly leading new program initiatives

Staff Management

  • Hire, train, and manage program staff and members
  • Ensure high level of accountability with staff and create a team environment
  • Ensure staff placement is beneficial to program

Program Management

 

Lead the coordinator team to

 

Develop, implement, coordinate and evaluate program needs, goals, delivery systems, and outcomes as follows:

  • Effectively manage program participants
  • Ensure that the programs run smoothly and efficiently
  • Oversee, organize, and coordinate program logistics
  • Monitor and/or manage program coordinator staff, members and partner sites
  • Ensure healthy partnerships are maintained, unhealthy ones are improved, and new ones are developed

Recruiting and Selection

  • Oversee member recruitment, interview, and selection process
  • Ensure that all required documents are collected in a timely manner
  • Oversee all correspondence with applicants
  • Conduct/attend outreach presentations and site visits

Orientation and Training

  • Continue to develop training and educational curriculum
  • Oversee planning and execution of orientation and trainings
  • Train inexperienced staff incorporating culture
  • Create orientation/training folders for members
  • Coordinate logistics for training and orientations as needed

Data and Reporting

  • Oversee data management and documentation of program-related information
  • Help to ensure appropriate and valuable data is collected in a timely manner to meet grant and contract deliverables
  • Monitor performance measures and program goals
  • Prepare for, complete and/or assist with reporting

Monitoring and Quality Control

  • Evaluate program and improve operations—streamline & simplify
  • Document systems, policies, and protocols
  • Monitor member/team progress
  • Maintain healthy communication with stakeholders
  • Ensure that programs run smoothly and efficiently
  • Be on-call during program to respond to any issues in a timely manner
  • Travel throughout the State to meet with members and sites, and to promote programs
  • Ensure program operations and spending is in compliance with grants and contracts

Other duties as assigned

 

Position Requirements

In order to be considered for hire, one must meet the following minimum requirements:

  • Must meet Kupu’s criminal history background check requirements
  • Possess a valid driver’s license. Able and willing to drive for Kupu business and to meet drivers abstract requirement
  • Available full-time Monday through Friday, as well as for possible weekends, evenings, and periodic neighbor island trips
  • Must be available from March through August
  • Bachelor’s degree
  • 3-5 years’ experience with in related work, preferably in a non-profit setting
  • High level skill set in Microsoft Office programs (especially Excel) & other web-based programs
  • Strong administrative skills necessary to organize, prioritize, oneself and others
  • Experience managing multiple projects or events while working as a team player
  • Experience managing others and handling HR issues
  • Extremely detail-oriented and thorough
  • Comfortable designing, organizing, and conducting online or in-person trainings for large groups
  • Able to stay objective, positive, and flexible in a fast growing, ever-changing non-profit setting
  • Able to multitask while showing good judgment and problem solving skills
  • Able to oversee and ensure smooth execution of logistically complicated projects
  • Effective communicator with excellent interpersonal relationship skills

Preferred Qualifications<​/p>

It is preferred that the applicant has the following:

  • Familiarity with National Service Programs
  • 3 or more years of experience with effective personnel management and staff supervision
  • Experience or interest in environmental conservation
  • Familiarity with Hawaiian natural resources, culture, and places
  • Grant writing and budget management experience, especially with state and federal grants or contracts
