POSITION SUMMARY:
The Purchasing Manager is a tactical leader responsible for the daily execution of purchasing activities to ensure the warehouse and distribution operation remains stocked, operational, and responsive to customer demand.
This role oversees the end-to-end purchasing process — from identifying immediate inventory needs to issuing purchase orders, tracking deliveries, and resolving discrepancies. The Purchasing Manager ensures the “5 Rights” of purchasing: the right price, quality, quantity, place, and time.
The role focuses on operational continuity, purchasing accuracy, vendor follow-through, and team leadership within a fast-paced distribution environment.
PRIMARY DUTIES AND FUNCTIONS:
- Oversee daily purchasing operations including requisitions, purchase orders (POs), and approvals
- Process and manage purchase orders for inventory, warehouse supplies, equipment, and operational materials
- Monitor inventory levels through ERP/WMS systems to trigger reorders and prevent stockouts or excess inventory
- Coordinate with Warehouse and Sales to ensure timely replenishment aligned with demand
- Track open orders, confirm delivery dates, and follow up with vendors on late or incomplete shipments
- Review order confirmations and invoices to ensure pricing, quantities, and terms match agreed specifications
- Resolve discrepancies involving pricing, damaged goods, short shipments, or billing errors
- Ensure compliance with company purchasing policies, approval processes, and budget controls
- Monitor supplier performance including on-time delivery and order accuracy
- Collaborate with Warehouse Manager and Operations team to coordinate inbound deliveries and optimize dock scheduling
- Supervise and develop purchasing team members, set workflow priorities, and conduct performance reviews
- Identify opportunities to improve purchasing efficiency, reduce errors, and streamline processes
- Prepare routine purchasing reports and metrics for leadership review
- Support operational initiatives and other duties as assigned
ADDITIONAL RESPONSIBILITIES:
- Participate in operational and leadership meetings
- Support cross-functional supply chain initiatives and projects
- Perform other duties as assigned
Communication, Physical and Mental Demands:
- Effectively communicates with leadership, Warehouse Operations, Finance, Sales, and external vendors, including negotiating pricing and resolving supply issues.
- Analyzes inventory, cost data, and vendor performance while managing multiple deadlines in a fast-paced distribution environment.
- Exercises sound judgment and maintains confidentiality of pricing, contracts, and company information.
- Performs prolonged computer work and frequent movement between office and warehouse areas.
- Occasionally stands for extended periods and lifts and/or moves up to 25 pounds.
- May travel occasionally to vendor sites or company locations, as needed.
Required
- 3–7+ years of experience in purchasing, buying, or warehouse operations
- Experience managing purchase orders and vendor relationships in a distribution environment
- Supervisory or team leadership experience
- Strong working knowledge of ERP or WMS systems
- Advanced proficiency in Microsoft Excel
- Strong attention to detail, organization, and follow-through
- Ability to manage competing priorities in a fast-paced environment
- Strong communication and vendor coordination skills
Preferred
- Bachelor’s degree in Supply Chain, Procurement or related field
- Experience in distribution, wholesale, or logistics operations
- Experience supervising buyers or purchasing agents
- Familiarity with SAP, Oracle, NetSuite, or similar ERP platforms

Final compensation will be determined based on the candidate’s experience, qualifications, internal equity, and current market conditions.
