Job Description
This blended position is two part time positions into one full time. 

1) ADMINISTRATIVE ASSISTANT TO THE CHANCELLOR

Overall Responsibility:

The Administrative Assistant serves as staff to the Chancellor. He/She assists with accomplishing Office of the Chancellor responsibilities, including records management, archives, statistics reporting, and other projects.

Position Summary:

• Manages the records of the Diocese and serves as the Records Manager.

• Maintains and organizes the Diocesan Archives.

• Provides Sacrament and Genealogy Research services

• Updates Official Catholic Directory and other statistic reports

• Performs administrative support and clerical duties as needed such as word processing, photocopying, filing, answering phone calls, and responding to any requests for information.

• Other duties as assigned.

Minimum Qualifications:

• Practicing Catholic preferred.

• College degree or three years experience in records management or related fields.

• Proficient with the use of computers, specifically Microsoft programs.

• Able to travel to attend conferences several times a year.

Scheduling requirements

· Entails periodic evening and weekend work.

2) RECEPTIONIST

 

The Receptionist at the Diocese of Honolulu located in downtown Honolulu is an important position that serves as the first face of the Diocese or Catholic Church that people may see. This position's purpose is to welcome and provide an efficient and friendly service experience to visitors, guests, employees and the public.

 

Position Summary

- Serves as the first person to greet visitors for the Diocese and Cathedral of Our Lady of Peace

- Answers the main phone line, takes messages, routes calls and follows up where necessary.

- Implements safety and security protocols as it relates to guests, visitors and employees

- Assists the Office of the Bishop with administrative tasks

- Provides support for Diocesan events at the downtown location

- Receives mail and deliveries and appropriately routes to correct location

- Ensures welcoming and clean reception area

- Other duties as assigned.

 

 

Minimum Qualifications

· Must pass Background Check

· Active member of the Catholic faith prefered

· Knowledge of computer programs to include Microsoft programs, EXCEL, Publisher, Power Point, and Word documents

· Strong interpersonal skills

· Quick study, organized, detail-oriented

· Be a flexible team player who is proactive and takes initiative
