SENIOR ADMINISTRATIVE ASSISTANT – ID# 220343.​ 

 

Research Corporation of the University of Hawai‘i.  Regular, Full-Time, RCUH Non-Civil Service position with the Human Resources Department, Research Corporation of the University of Hawai‘i (RCUH) Core Staff located in Honolulu, Hawai‘i.  Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws.

MONTHLY SALARY:  $5,000/Mon. 

 

DUTIES: 

  • Provides support to the RCUH Director of Human Resources by facilitating and implementing the initiatives of the Director and Department, which include but are not limited to: assisting in implementation of new or revised policies and procedures; assisting in drafting correspondence, reports, taking minutes in meetings, coordination and planning to ensure timely and effective implementation of initiatives and/or directives of the Corporate Human Resources Department. 
  • Works with department managers and staff to ensure a successful implementation or deployment of new initiatives and/or work processes. 
  • Conducts research to facilitate and ensure effective development of initiatives and work process changes. 

PRIMARY QUALIFICATIONS:

EDUCATION/TRAINING: 

  • Bachelor’s Degree from an accredited four (4) year college or university in English or related field. 
  • (Associate’s Degree from an accredited community college with an additional two to four (2-4) years of experience as an Executive Assistant to a Senior Executive may substitute for a Bachelor’s Degree dependent upon ability to demonstrate competence in performing job duties.). 

EXPERIENCE: 

  • Seven to ten (7-10) years of progressively responsible experience equivalent to an Executive Assistant with at least three (3) years of experience working for a senior manager/executive.
  • Experience with implementing change initiatives and work processes is highly preferred. 

ABIL/KNOW/SKILLS​: 

  • Knowledge of implementation of new work process, product or concept initiatives.  
  • Understanding and demonstrated competence in general office administration, event planning/organizing, and general business/office practices. 
  • Ability to oversee and ensure expeditious implementation of initiatives and new/revised work processes. 
  • Must express enthusiasm and a willingness to learn job duties and RCUH policies and procedures quickly with a high level of energy. 
  • Must be able to manage a fast-paced, high-volume of work environment while assisting customers via frequent phone calls and a high volume of emails. 
  • Excellent business writing skills (i.e., proofreading, style, spelling, grammar, etc.) for confidential business correspondence, reports, and to assist in researching and drafting policies. 
  • Must be able to create and edit flowcharts.  
  • Ability to use electronic communications (email, web/Internet enabled work processes), maintain budgets, and handle fiscal transactions.  
  • High level of competence in the use of personal computer and related business software (Word, Excel, PowerPoint, Zoom, etc.), office technology and automation practices (e.g., scanning, electronic documents, etc.).  
  • Ability to do work with initiative, speed and accuracy. 
  • Post Offer/Employment Condition: Must be able to pass a post offer criminal background check for working with highly confidential and sensitive information, which includes being fingerprinted and having a federal background check, performed.

SECONDARY QUALIFICATIONS: 

  • Bachelor’s Degree from an accredited four (4) year college or university in Human Resources or Society for Human Resource Management (SHRM) Certification.  
  • Experience in a human resources/personnel office.  
  • Familiarity with University of Hawai‘i and RCUH personnel policies and procedures.
