Job Description

STEADFAST HOUSING DEVELOPMENT CORPORATION incorporated as a non-profit entity in 1989 and combined experts in housing and behavioral health services to provide an independent living housing program for adults with serious and persistent mental illnesses. We are actively recruiting for one (1) full-time Administrative Clerk within our Supported Housing Program on Oahu. The hourly rate is $17.00.

What do you have to do?

 

  1. Authorizations of Services: track authorization numbers, dates of service, and billable units for both Adult Mental Health Division (AMHD) and Community Care Services (CCS) clients.
  2. Generate annual recertifications for AMHD authorizations, provide to staff for signature retrieval and then fax to CCS and AMHD accordingly.
  3. Duties relevant to CCS:
  4. Attend bi-weekly CCS Ohana liaison meetings.
  5. Document and update member paperwork and authorizations.
  6. Generate authorizations for distribution to staff.
  7. Faxing the authorizations for approval.
  8. Documenting and updating authorizations on tracking spreadsheets.
  9. Work directly with CCS on the CIS conversion and the generation and processing of authorizations with staff.
  10. Input data into HMIS to include all program updates, entries and exits for both Partners in Care (PIC) and Bridging the Gap (BTG) referrals.
  11. Next Step Online Records System duties:
  12. Create new tenant profiles and input all relevant information to the Face Sheet.
  13. Make edits to the Face Sheet as the client’s information changes.
  14. Scan and upload any forms or documents to the client’s profile.
  15. Manage program assignments, confirm staff assignments and other duties relevant to maintaining an updated system.
  16. Database inputs and updates.
  17. Assist the Data Manager in maintaining and updating various data worksheets pertinent to the program.
  18. Perform the daily office tasks and/or other related clerical duties as required or as assigned by the Residential Specialist Supervisor, including filing, faxing, copying, processing, and monitoring paperwork, preparing reports, completing forms, and running errands, as requested.
  19. Answer telephones; take messages and direct calls to the appropriate persons; distribute faxes to staff;
  20. Process tenant application packages, i.e., start new tenant folders, ascertain for completeness and accuracy of forms. Contact Residential Specialists to obtain missing paperwork.  Distribute copies of executed leases, tenant packets, and assessments to appropriate parties.  Maintain files as directed.
  21. Make conference room or training room reservations and set up conference calls for trainings and staff meetings.
  22. Operate and maintain all office equipment, i.e., copiers, fax, dictating machine, etc. Call for maintenance as needed.
  23. Assisting with accounting duties as needed.

 

 

What do you need to qualify for the job?

High school diploma or GED equivalent. At least 3 years of clerical experience is recommended. Valid Hawaii Driver's License and a clean driver’s abstract with no more than 3 violations within the last 3 years. Position requires use of own personal automobile with current registration, safety check and insurance.  Mileage reimbursement allotted to employee when traveling for work purposes.
