SOEST OFFICE ASSISTANT – ID# 220211.​ 

 

School of Ocean and Earth Science and Technology.  Regular, Full-Time, RCUH Non-Civil Service position with the School of Ocean and Earth Science and Technology (SOEST), Hawai‘i Institute of Geophysics and Planetology (HIGP), located in Honolulu, Hawai‘i. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MINIMUM MONTHLY SALARY:  $2,321/Mon. 

 

DUTIES: 

  • Works closely with the Principal Investigator (PI) and Secretary III in the support of research projects and grants. 
  • Prepares program-related documents (manually or electronic) so that they are processed in a timely fashion. 
  • Assists in the electronic submission of required fiscal documents for travel, supplies, and miscellaneous purchases. 
  • Obtains vendor quotes for ordering office supplies and equipment. Assists with data entry, data retrieval, document preparation, and review. 
  • Maintains the integrity of data by entering information accurately. 
  • Receives and distributes mail to the appropriate departments. 
  • Performs external mail collection. 
  • Photocopies and distributes emails as needed. 
  • Assists with preparing and following-up on personnel documents for new hires. 
  • Maintains project files, general correspondence, and personnel files in an organized and accessible system. 
  • Receives and screens incoming phone calls and directs calls to appropriate staff members. 
  • Assists faculty and staff in preparing for presentations, conferences, seminars, workshops, consultations, and meetings. 

PRIMARY QUALIFICATIONS:

EDUCATION/TRAINING: 

  • High School Diploma or G.E.D. equivalent. 


EXPERIENCE: 

  • At least three (3) years of office administration experience. 


ABIL/KNOW/SKILLS: 

  • Proficient in office administration, basic accounting, and general business/office practices. Familiar with procurement. 
  • Proficient and competent in PC business office software/applications (e.g., MS Word, MS Excel, E-Mail, Internet).  
  • Ability to use electronic communications (email, web/Internet enabled work processes). 
  • Must possess business communication skills (e.g., style, spelling, grammar), and strong skills in the use of PC personal computer, office machines, and other office automation practices (e.g., scanning, electronic documents). 
  • Ability to work efficiently and accurately. 
  • Must possess effective verbal and written communication skills.  
  • Post Offer/Employment Condition: Must be able to pass a post offer criminal background check.  Must be able to complete the UH Title IX training within twelve (12) months from date of hire.

SECONDARY QUALIFICATIONS: 

  • Associate’s Degree from an accredited community college in a related field. 
  • Familiarity with UH and RCUH policies and procedures. 
  • Experience in a human resources/personnel office. 
  • Ability to proof-read business and confidential letters, reports, and other documents.
