Job Description
PRIMARY RESPONSIBILITIES
The Sales Administrative Support role provides direct assistance to the Sales Manager and Sales Team in coordinating, tracking, and maintaining customer accounts and sales operations across all divisions. This position supports the company’s growth by ensuring professional communication, accurate documentation, and timely follow-through on all sales-related activities.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Generate and qualify, leads through customer outreach, referrals, and inbound inquiries.
- Assist in preparing, reviewing, and processing sales quotes, proposals, and contracts.
- Coordinate with Operations, Dispatch, and Accounting to ensure service accuracy and customer satisfaction.
- Maintain and update customer records within the company database and sales tracking systems.
- Prepare weekly and monthly reports summarizing sales activity, metrics, and performance trends.
- Support the Sales Manager with pricing schedules, rate adjustments, and renewals.
- Respond promptly to customer questions, billing inquiries, and service concerns, ensuring timely resolution.
- Participate in regular sales and operations meetings, contributing feedback and updates.
- Promote WOA’s services, safety culture, and community values through professional communication and conduct.
SUPPORTIVE FUNCTIONS
In addition to the performance of the essential functions, this position may be required to perform a combination of the following supportive functions.
- Assist with special projects or initiatives as assigned by management.
- Attend company events, community engagements, and trade shows as requested.
- Perform other duties as needed to support departmental and company objectives.
WORK ENVIRONMENT & PHYSICAL DEMANDS

- Frequent sitting, standing, and walking.
- Regular use of computers, telephones, and office equipment.
- May occasionally lift or move objects up to 10 pounds.
- Work environment may include exposure to dirt, odors, noise, and weather conditions when visiting field sites.
WORK SCHEDULE
- Regular schedule: Monday through Friday, 7:00 a.m. start time; 8–10 hours per day.
- Occasional weekends, holidays, or extended hours may be required to meet operational needs.
COMMUNICATION DEMANDS
- Must demonstrate excellent verbal and written communication skills.
- Ability to interact effectively with customers, supervisors, coworkers, and vendors.
- Proficiency in using tablets, phones, and digital communication tools.
- Must be able to read, write, and communicate effectively in English.
MINIMUM QUALIFICATION REQUIREMENTS
Education and Experience
- High school diploma or GED required; college coursework preferred.
- Minimum two (2) years of customer service or administrative experience in a sales environment.
- Working knowledge of Oʻahu geography preferred.
- Experience using Microsoft Word, Excel, and Outlook.

LICENSE & REQUIREMENTS
- Valid Hawaiʻi Driver’s License and clean Driver History Record.
- Reliable transportation to and from work.
- Must maintain a dependable attendance record.
- Ability to complete internal Spotter Signal training as applicable.
