Job Description
Sales & Client Support
  • Prepare and issue quotes, renewal contracts, and pricing sheets for review and approval by Sales Manager.
  • Support customer inquiries, resolve service issues promptly, and escalate complex cases to the Sales Manager when needed.
  • Maintain accurate and up-to-date client information within CRM systems (e.g., Monday.com, HubSpot, or other internal software).
  • Assist with contract renewals, client onboarding, and service change requests.
  • Coordinate with Dispatch, Operations, and Accounting to ensure service accuracy and timely invoicing.
  • Track and follow up on open opportunities, expiring contracts, and pending quotes.
  • Help monitor sales activity and ensure alignment with company retention and growth goals.
Administrative & Reporting Functions
  • Prepare and distribute weekly and monthly sales activity reports and performance summaries.
  • Maintain an organized digital filing system for contracts, quotes, and client communications.
  • Assist with RFP responses, bid documentation, and proposal coordination.
  • Support company marketing initiatives, community events, and trade show participation as assigned.
  • Ensure compliance with all company policies and confidentiality standards.
Cross-Department Collaboration
  • Participate actively in weekly Sales and Operations meetings; provide updates on customer service and open sales items.
  • Coordinate with Accounting for client account verification and credit applications.
  • Maintain professional, timely communication between sales, operations, and dispatch teams to resolve customer issues efficiently.
KEY PERFORMANCE INDICATORS (KPIs)
  • Quote and contract turnaround time (goal: ≤ 48 hours).
  • CRM data accuracy (goal: 98% or higher).
  • Customer issue resolution time (goal: within 24–48 hours).
  • Monthly sales activity reports submitted on schedule.
  • Zero overdue client renewals or unaddressed follow-ups.
QUALIFICATIONS

Education & Experience

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Minimum 2 years’ experience in customer service, inside sales, or administrative support for Sales.
  • 2 years experience using CRM systems (HubSpot, Monday.com, or similar) and Microsoft Office (Word, Excel, Outlook) in a sales position.

WORKING CONDITIONS
  • Office-based position with occasional site visits or field coordination as needed.
  • Must maintain a reliable work schedule and meet assigned deadlines.
  • Work hours: Monday–Friday, 7:00 AM–4:00 PM; may require occasional weekends or holidays based on

operational needs.

  • May be exposed to outdoor elements, noise, and dust during site visits.

 

PHYSICAL DEMANDS
  • Regularly required to sit, stand, walk, and use hands to operate computer or phone.
  • Must be able to lift up to 10 pounds occasionally.
  • Requires use of computer, phone, and other digital devices throughout the workday.

 

COMMUNICATION DEMANDS
  • Must possess strong written and verbal communication skills.
  • Must be able to read, write, and comprehend instructions in English.
  • Must be able to communicate effectively using company devices and applications.

 

SAFETY & COMPLIANCE
  • Adhere to all WOA safety protocols, including proper use of PPE when visiting job sites.
  • Report hazards, unsafe conditions, and incidents immediately to the Sales Manager or Safety Department.
  • Participate in safety meetings and compliance training as required.

 

OTHER REQUIREMENTS
  • Valid Hawai‘i driver’s license and clean driver’s abstract.
  • Reliable transportation to and from work and field locations.
