Overall Responsibility The Secretary is responsible for providing administrative and related office services for St. John Vianney Church Reports to: Pastor, Business Manager Classification: Non-Exempt Position Summary · Manages office operations for the Pastor including managing communication to parishioners and the public, scheduling appointments, processing mail, record keeping, and other administrative duties. · Schedules parish facilities and coordinates use of rooms, etc. · Oversees the timely opening and secure closing of the office each day. · Maintains and orders inventory of office supplies. · Assists Pastor in coordination of parish staff activities and committees including scheduling meetings, and providing administrative support. · Responsible for coordination of scheduling of weddings, funerals, and other events. · Maintains a sacramental record keeping system recording weddings, baptisms, funerals and other sacramental events. · Maintains Parish Data System. · Participates in outreach and welcoming ministry, assisting in inviting, welcoming and registering new parishioners. · Maintains a neat and orderly lobby area · Other duties as assigned. Minimum Qualifications · Active member of a Roman Catholic parish faith community preferred. · High school graduate or equivalent. · 3 years of administrative support experience. · Must have the ability to maintain confidentiality in all matters. · Must be computer literate with intermediate knowledge of Microsoft Office programs. · Ability to solve practical problems while dealing with a variety of concrete variables and interpret a variety of instructions furnished in written, oral, diagram or schedule form. Other Job Requirements Physical requirements · Bending, stooping, reaching, twisting, lifting, pushing, pulling and moving items. Scheduling requirements · Entails periodic evening and weekend work.
