Job Description

Seeking an Admin with excellent organizational skills for a local financial institution. This role will provide daily support to the CEO and Board of Directors, including but not limited to coordinating meetings and events, overseeing correspondences, and preparing documents and reports.

Hours

Full-time, Monday to Friday, 7:45am-4:15pm

Location

Honolulu, Oahu

Responsibilities

  • Schedule, coordinate, and facilitate appointments, meetings, and/or travel arrangements.
  • Act as the staff and organization?s liaison with senior management and CEO.
  • Prepare a wide variety of correspondences, reports, presentations, and documents.
  • Receive, log, and distribute materials.
  • Manage vendor relationships related to administrative responsibilities.
  • Maintain a filing/tracking system for personnel records, regulatory records, training records, vendor records, and other corporate records.
  • Identify, address, and resolve personnel issues in cooperation with management.
  • Train an individual designated as your own backup.
  • Handle all aspects of the position with a high degree of confidentiality and discretion.
  • Perform other duties as assigned.

Qualifications

  • College degree or course work preferred.
  • Prior administrative experience (at least 1-2 years) a must.
  • Advanced Microsoft Office skills.
  • Familiarity with financial services and/or credit unions preferred, but not required.
  • Valid driver's license and access to a reliable vehicle.
  • Maintain accuracy, confidentiality, and professionalism in a variety of written and verbal communications.
  • Excellent problem-solving skills with the ability to remain calm and organized in a fast-paced environment.
  • Willingness to become a notary public within 9 months of hire.
