Administrative Coordinator (208808)A religious institution is seeking an experienced administrative professional to join their team as an Administrative Coordinator and help ensure staff meet deadlines and complete tasks on their checklists and provide support with general operations and administrative duties. The ideal candidate will have their associate's degree, minimum 3 years' administrative experience, and can work independently and collaboratively on a team, prioritize tasks and communicate effectively.

Hours
Part-time, Tuesday, Thursday, Friday, 12:00pm?4:00pm | Wednesday, 8:00am?4:00pm | Occasional weekend & evening for special events
Location
Honolulu, Oahu
Pay
$20 to $23 an hour
Responsibilities
- Monitor reporting deadlines and remind appropriate personnel of deadlines until tasks are complete.
- Maintain checklist of things to do, remind appropriate personnel of outstanding items on the list, and help with checklist items as needed.
- Respond to inquiries and requests from staff and the public.
- Prepare items for mailing (envelopes and parcels) and place in outgoing mail and/or take to the post office.
- Scan, copy, file, and/or deliver documents.
- Provide support for events and other special projects.
- Record, label, and/or deliver items to the archives and/or outside storage.
- Handle receptionist duties as needed.
- Perform other duties as needed.
Qualifications
- Associate's degree or equivalent work experience.
- Minimum 3 years' work experience in administrative support or coordination role.
- Proficient with Microsoft Excel and able to process IF formulas, conditional formatting, pivot tables, VLOOKUP formulas.
- Proficient with Microsoft Word and Outlook and able to process mail merges.
- Knowledgeable with Adobe Acrobat Pro and can process e-signatures, table of contents bookmarks and links.
- Strong communication (verbal, written, interpersonal) and organizational skills.
- High level of customer service skills.
- High level of professionalism, diplomacy, and discretion in matters involving confidentiality.
- Proven ability in prioritizing workload and meeting deadlines.
- Ability to work independently and collaboratively.
- Ability to read, write, and speak English language required.
- Detail oriented, motivated, hardworking, dependable.
