Administrative Support Specialist (201259-4)

Assist the rental department of a local supplier with contracts, scheduling, and delivery documentation, and confirming insurance requirements. We're looking for someone who will be able to effectively communicate company rental policies to customers and handle customer inquiries. You will also need proficiency in Microsoft Office with strong typing skills. Some accounting and QuickBooks experience is preferred.


Full-time, 7:00am-3:30pm


Sand Island, Honolulu, Oahu


$22 to $25 an hour, DOE


  • Process all pickup slips and create work orders once the equipment arrives back from rental to the yard.
  • Sort and prepare all pre-checks and pre-rental inspection check-ins for the Service Techs and Mechanics.
  • Prepare and email all DocuSign contracts to the customers and drivers daily.
  • Prepare and send out the delivery/pickup requests to drivers.
  • Ensure that all Certificate of Insurance is current with any open contract.
  • Monitor any outstanding customer documentation that is not complete.
  • Monitor aged receivables and call to collect payment and/or to check on payment status.
  • Enter invoices/credit memos and classify the appropriate expense in QuickBooks.
  • Send out monthly statements.


  • College degree in accounting a plus.
  • Previous internship and/or office data processing experience preferred.
  • Proficiency with Microsoft Office. QuickBooks experience desirable.
  • Excellent typing skills (minimum 60 wpm).
