Job Description

A local company is seeking a detail-oriented and dependable Benefits Representative to support daily operations across multiple benefit programs and administrative functions.

This role provides support for participant communications, enrollment processing, HIPAA privacy administration, records management, office coordination, and departmental projects. The ideal candidate is highly organized, professional, and comfortable working with confidential information in a fast-paced office environment.

Hours

Full-time, Monday - Friday, 8:00 a.m. - 5:00 p.m.

Location

Downtown, Honolulu, Oahu

Pay

$22 to $23 an hour

Responsibilities

  • Process and maintain benefit-related administrative filings, scanning, records management, and document organization
  • Open, sort, date stamp, and distribute incoming office mail and participant communications
  • Prepare enrollment packets, participant notices, benefit materials, and educational presentations
  • Coordinate participant mailings, departmental supplies, and meeting schedules
  • Update participant information within internal systems and prepare follow-up correspondence
  • Assist with enrollment processing, open enrollment activities, retirement affidavit processing, and vacation/holiday payout support
  • Coordinate with vendors, mailing providers, IT teams, and external partners regarding notices, communications, and participant documentation
  • Maintain office inventory, filing systems, and storage organization
  • Take meeting minutes and assist with board meeting preparation and special projects
  • Assist with locating participants, processing returned mail, and confirming participant contact information
  • Support HIPAA privacy administration including documentation, training coordination, incident tracking, and business associate agreements
  • Assist with COBRA administration, member eligibility updates, retiree rate support, and related reporting functions
  • Support processing of benefit applications, payment documentation, and member inquiries
  • Maintain confidentiality and accuracy while handling sensitive participant and health information
  • Assist with company events, staff functions, and additional administrative duties as assigned

Qualifications

  • Previous administrative, benefits, healthcare, insurance, or office support experience preferred
  • Strong organizational skills with attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Professional and confidential handling of sensitive information
  • Proficiency with Microsoft Office including Word, Excel, and Outlook
  • Comfortable learning internal databases and benefits administration systems
  • Ability to work independently and collaboratively within a team environment
  • Strong customer service and interpersonal skills when assisting participants, vendors, and staff
  • Ability to maintain professionalism and discretion in all communications and administrative functions
