Compliance Administrator (222908-14)
A local membership-based organization is seeking an Compliance Administrator to join their Member Services team. This role provides support daily operations related to ethics, compliance, member support, and administrative coordination.
This role works closely with leadership and committee members to coordinate meetings, maintain records, support case management processes, and provide high-level administrative support across the department. The ideal candidate is professional, discreet, customer service driven, and comfortable managing sensitive and confidential information. Flexibility to occasionally adjust schedule to support hearings, meetings, or departmental events as needed.
Hours
Full-time, M-F, 8:00 a.m. to 5:00 p.m.
Location
Kapahulu, Honolulu, Oahu
Pay
$52,000 to $55,000 a year
Responsibilities
- Provide administrative and operational support for professional standards, ethics, and member-related processes.
- Coordinate meeting logistics including scheduling, Zoom coordination, room setup, materials preparation, and follow-up communications.
- Prepare agendas, maintain records, and document meeting minutes for committees and departmental meetings.
- Support intake and tracking of member inquiries, complaints, and case-related documentation.
- Maintain confidential electronic and physical records, databases, and reporting logs.
- Assist with coordination of mediation, hearing, and compliance-related processes, including scheduling and correspondence.
- Track case activity, follow-up deadlines, compliance items, and statistical reporting.
- Support departmental communications, notices, and member correspondence.
- Coordinate travel arrangements, expense reporting, invoices, and administrative documentation for department staff.
- Maintain calendars, attendance records, and meeting schedules.
- Provide general administrative and logistical support for special projects, events, and departmental initiatives.
- Collaborate with internal departments, committee members, vendors, and external stakeholders as needed.
- Maintain professionalism, discretion, and confidentiality in all communications and administrative functions.
Qualifications
- Associate’s degree preferred.
- Minimum 2 years of administrative support experience in a professional office environment.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills with diplomacy and professionalism.
- Strong attention to detail and accuracy with the ability to work independently.
- Excellent customer service and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office, Zoom, internet applications, and general office systems.
- Ability to work collaboratively in a fast-paced, team-oriented environment.
- Ability to lift up to 20 pounds and sit for extended periods as needed.
