Job Description

The Director of Operations serves as a vital bridge between the organization and the community by supporting fundraising, donor engagement, and development operations. Reporting directly to the Executive Director, this role plays a key part in developing and implementing fundraising strategies that sustain and grow mission-driven work.

Blending strong organizational skills with compelling storytelling, the Director of Operations will lead donor cultivation and stewardship efforts, support grants management and institutional funding initiatives, oversee fundraising communications, and contribute to the success of signature fundraising events. This position collaborates closely with leadership and board members to strengthen philanthropic relationships and expand community support.

Responsibilities

  • Collaborate on the development and execution of annual fundraising plans and strategic growth initiatives.
  • Partner with leadership to cultivate, steward, and expand a major donor pipeline throughout the giving lifecycle.
  • Coordinate donor cultivation activities, including prospect research, development materials, fundraising appeals, and follow-up communications.
  • Maintain and track donor engagement activity within donor management and CRM systems.
  • Manage donor acknowledgments, stewardship reports, annual giving campaigns, and donor correspondence.
  • Prepare development reports and monitor fundraising performance metrics.
  • Research prospective government, corporate, and foundation funding opportunities.
  • Lead the writing, preparation, and submission of grant proposals.
  • Maintain grants calendars, reporting schedules, compliance documentation, and deadlines.
  • Assist with grant reporting, impact narratives, and required financial documentation.
  • Maintain accurate donor records, gift processing documentation, and reporting systems to ensure data integrity.
  • Create and improve workflows that support sustainable fundraising operations and seamless gift processing.
  • Draft compelling donor communications, fundraising appeals, impact stories, and other development-related content.
  • Support planning and execution of fundraising galas and special events.
  • Assist with preparation of fundraising-related communications and outreach materials.
  • Support media and public relations efforts tied to fundraising initiatives.
  • Serve as staff representative for development and community engagement committees.
  • Perform additional duties as assigned in support of organizational goals.

Qualifications

  • Minimum of 5 years of experience in development, marketing, communications, or related fields, with demonstrated success meeting fundraising goals.
  • Proven experience in grants management, annual campaigns, donor development, and event planning.
  • Proficiency with donor management software, CRM platforms, and marketing tools.
  • Exceptional written and verbal communication skills, including experience creating persuasive donor and marketing materials.
  • Strong organizational and project management abilities with excellent attention to detail.
  • Collaborative, team-oriented mindset with the ability to work effectively across departments and community stakeholders.
  • Cultural awareness and appreciation for Hawaiʻi’s unique cultural and historical landscape.
