Job Description

A well-established residential property in Honolulu is seeking an experienced Executive Assistant to support day-to-day administrative operations. This role requires a detail-oriented, organized individual with strong customer service skills, the ability to multitask, and a professional, positive demeanor.

The ideal candidate is comfortable working independently, interacting with a diverse group of residents and stakeholders, and managing a wide range of administrative responsibilities in a fast-paced environment.

Hours

Full-time, Monday-Friday, 8:00 a.m. - 4:30 p.m.

Location

Honolulu, Oahu

Pay

$26 to $27 an hour

Responsibilities

  • Perform a broad range of administrative duties including answering phones, managing email correspondence, maintaining digital and physical files, organizing records, and ordering office supplies.
  • Serve as a primary point of contact for residents, responding to inquiries and providing accurate information in a courteous and professional manner.
  • Welcome new residents and assist with onboarding by providing required documentation, house rules, and an overview of building procedures and amenities.
  • Maintain familiarity with policies, procedures, and house rules; assist with resident education as needed.
  • Work closely with management to maintain accurate resident, owner, and tenant records.
  • Maintain records related to resident registrations (e.g., pets, bicycles, equipment).
  • Assist with accounts receivable and accounts payable processing.
  • Update and maintain the property’s database and records.
  • Prepare and distribute newsletters and electronic communications to residents.
  • Assist with vendor coordination and collection of required documentation.
  • Coordinate mailings, distribute notices, and maintain organized administrative records.
  • Assist with the coordination and hosting of resident events and property functions.
  • Perform additional administrative, clerical, and support duties as assigned.

Qualifications

  • Prior administrative or executive support experience in a professional office environment.
  • Strong customer service skills with a genuine willingness to assist others.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time-management abilities with strong attention to detail.
  • Ability to multitask, prioritize, and meet deadlines.
  • Proactive, dependable, and able to exercise sound judgment and initiative.
  • Strong interpersonal and teamwork skills.
  • Proficiency in Microsoft Outlook, Word, Excel, and OneDrive; experience with Publisher and SharePoint preferred.
  • Basic computer troubleshooting skills a plus.
  • Experience in condominium management, hospitality, hotel front desk, or concierge roles preferred.
  • Japanese language skills (spoken and/or written) are a plus.
